Immediate Supervisor: Mission Stewardship Director Time: 50% time
Depending on applicant response and qualifications, this part-time position may be combined with the Multiplying Gospel Leaders Ministry Assistant position (see posting) resulting in a single, full-time Ministry Assistant role. Applicants interested in being considered for both roles to form a full-time position should indicate this in their application.
Principal Function: Provide administrative assistance and support to Mission Stewardship Director. Extensive responsibility to maintain database information on financial donors. Represent TBMB in interactions with donors and potential donors. Perform clerical and organizational tasks required for the successful accomplishment of ministry assignment, tasks, and events.
Essential Functions: (Employee must be spiritually, physically, mentally, and emotionally able to fulfill these assignments and tasks to fill this position.)
- Conduct assigned ministry with “Christ-Like Servant Spirit”, guided by TBMB mission, priorities, strategies, and goals.
- Contribute to all phases of responsibilities to the Mission and Objectives of the organization.
- Exercise discipline to complete tasks and work alone with general supervision.
- Provide support and assistance to assigned group and other groups within the organization, while building and maintaining positive working relationships.
- Travel occasionally to various events and work overtime and irregular hours, as necessary.
Responsibilities include, but are not limited to:
- Coordinate weekly donor acknowledgement process. Update thank you letters quarterly so recurring donors are getting unique letters. Facilitate additional statements of gratitude from staff when appropriate.
- Maintain database of donors and potential donors. Continually develop and implement “attributes” that assist in selection of specific donors.
- Manipulate database to produce reports, lists, and donor information for use by Director.
- Facilitate Director’s interaction with donors and potential donors. Assist in preparation of donor call and visit lists. Record such activity in database.
- Identify lapsed donors and ensure proper contacts are made on regular basis.
- Coordinate donor tours of ministry sites with appropriate staff.
- Coordinate collection of ministry stories and updates for use in stewardship promotion.
- Work with Accounting and Communications to prepare annual tax receipts and annual report.
- Coordinate administrative details of ministry events and projects, completing tasks in a timely manner as determined by each event or project.
- Process ongoing communication regarding all ministry needs and personnel as appropriate. Respond to incoming calls and emails and initiate contacts as directed.
- Enter data in TBMB communications and database systems as appropriate concerning calendaring, resources, support needs, securing proper approvals as needed.
- Submit check requests, collect, and submit for deposit money from registration and material sales from events, if applicable, budget input and updates.
- Monitor budget accounts as directed.
- Perform all other duties as needed or assigned.
Physical Requirements for Individual in Position:
- Continuously sits at desk utilizing computer and phone. Occasionally stands and walks.
- Frequently bends/stoops, pushes/pulls, identify, and distinguish colors.
- Occasionally squats, walks extended distances, reaches above shoulder, kneels, balances, lifts, and carries up to 50 pounds.
Preferred Qualifications for Applicants:
Credentials and experience:
- Education: High School diploma required, two years plus of college preferred
- Experience: One to three years related work experience
Knowledge and Skills:
- Microsoft office proficiency needed in Word, Excel, PowerPoint
- Understanding of and ability to retrieve information from CRM type of relational databases.
- Good written and verbal communication skills
- Knowledge of general office skills and procedures
