Duties

• Manage incoming calls using multi-line phone systems with professionalism and courtesy, providing excellent customer support and information.
• Greet visitors and clients at the front desk, creating a positive first impression and directing them appropriately.
• Maintain accurate records through data entry, filing, and document proofreading to ensure all client and employee information is up-to-date and organized.
• Schedule appointments, manage calendars, and coordinate caregiver assignments using office management software and Google Workspace tools.
• Support office management by overseeing supply inventory, organizing files, and ensuring the office environment remains efficient and welcoming.
• Assist with personal assistant duties such as calendar management, email correspondence, and task prioritization to keep daily operations running smoothly.

Skills

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, communication, and collaboration.
• Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
• Excellent phone etiquette with experience managing multi-line phone systems and providing top-tier customer service.
• Bilingual abilities are highly valued to assist diverse client populations effectively.
• Office management experience combined with clerical skills such as filing, proofreading, data entry, and calendar management.
• Knowledge of bookkeeping software like QuickBooks for accurate financial recordkeeping.
• Demonstrated computer literacy including typing speed and familiarity with office equipment.
• Exceptional time management skills with the ability to prioritize tasks efficiently.
