Role Description


Job Title: Construction Administrative Assistant (Entry-Level)


Position Summary


We are seeking a highly organized and proactive Construction Administrative Assistant to support daily operations on an active construction project. This entry-level role is ideal for someone looking to grow in the construction industry while gaining exposure to project management, field operations, procurement, and business systems.


The ideal candidate will play a key role in maintaining organization, ensuring documentation is complete, supporting procurement workflows, and helping drive coordination across the project team.

Key Responsibilities


Inspection & Documentation (Primary Focus)


Prepare, collect, and organize inspection documentation and reports

Track inspection schedules and ensure all required documentation is complete and submitted on time

Maintain logs for inspections, permits, and compliance requirements

Coordinate with field teams and inspectors to ensure readiness for inspections

Onboarding & Team Support


Assist with onboarding new employees and subcontractors (badging, paperwork, system access)

Maintain accurate and up-to-date records for all personnel on site

Coordinate with internal teams to ensure onboarding requirements are completed

Procurement, Scheduling & ERP Coordination (Acumatica)


Assist in creating, tracking, and updating purchase orders within Acumatica

Support procurement scheduling by aligning material deliveries with the project schedule and field needs

Coordinate with vendors and suppliers to confirm delivery dates, lead times, and order status

Maintain procurement logs and track material status from order through delivery

Identify and flag potential delays, missing materials, or discrepancies in orders

Support reconciliation of purchase orders, receipts, and invoices within the ERP system

Help maintain accurate and up-to-date procurement data to support cost tracking and reporting

Project & Systems Support


Maintain and update project tracking systems, logs, and documentation

Organize digital files, drawings, and project records

Support data entry and reporting in Excel, Procore, Acumatica, or other systems

Assist in maintaining accurate and reliable project data to support decision-making

Additional Responsibilities


Provide general administrative support to the project team

Coordinate meetings, take notes, and track follow-ups to completion

Assist with document control and filing systems

Support day-to-day jobsite and office needs as they arise

Communicate with team members, vendors, and subcontractors as needed

Qualifications


High school diploma required; Associate’s or Bachelor’s degree preferred (Construction Management, Business, or related field)

Strong organizational and time management skills

Proficiency in Microsoft Office (Excel, Word, Outlook)

Strong attention to detail and ability to manage multiple tasks

Willingness to learn construction processes, procurement workflows, and ERP systems

Good communication skills and a team-oriented mindset
