TBE operates a robust and growing religious school, a thriving Early Childhood Center (ECC), and a wide array of family and adult engagement opportunities. In recent years, there has been a great deal of membership and programmatic growth which augurs well for the community as a whole. With this growth, TBE is looking to build its in-house bookkeeping ownership, believing that - with both the technological and human resources currently at TBE - greater efficiencies in financial recordkeeping can result.
THE POSITION
Reporting to the Executive Director and subject to the direction of the Board President, Treasurer, and Senior Rabbi of TBE, the Part Time Bookkeeper (PTB) is responsible for managing the financial transactions and records of TBE, including payroll, accounts payable and receivable, and cash flow. The PTB will work collaboratively with an outsourced accounting company to create financial reports for management and leadership, maintain an accurate general ledger, and ensure compliance with all accounting principles, relevant laws, and regulations. The PTB will assist outside auditors with financial records and reports as directed by the Executive Director. The PTB will keep the Executive Director fully informed of the day-to-day financial health of TBE, including immediate attention any accounting/financial concerns that arises.
KEY RESPONSIBILITIES
The Bookkeeper is an at-will, part-time employee of the congregation.
Specific responsibilities include, but are not limited to:
· Support the Executive Director, Treasurer, and Finance Committee in oversight of congregational finances
· Transmit invoices and how to allocate expenses to outsourced bookkeeping service
· Monitor online bill-pay system and follow up with Finance Committee to ensure prompt payments
· Create and monitor billing; answer member’s questions
· Convey checks and apply payments; ensure accuracy of application
· Oversee collections process-letters, e-mails, and phone calls to members behind on payments
- Manage payroll and employee benefits, ensure accurate payroll deduction entries, tracking PTO, and administering retirement plans as directed by the Executive Director. Maintain accurate employment records (such as I9’s, W4’s, etc.) and prepare year-end processing for W2’s and 1099’s.
· Support, in conjunction with off-site bookkeeping service, TBE’s annual audit
· Support the Early Childhood Program and Religious School billings and adjustments
- Monitor cash on hand. Monthly code Petty Cash receipts and expenses to the off-site bookkeeper
- Work with off-site bookkeeping service to provide accurate monthly financial statements for management and leadership, including balance sheets, income and expense statements, and cash flow reports
- Code credit card statements for G/L entry
- Prepare and file Worker’s Compensation reports, NYS Withholding Tax reports and other reports as requested
- Ensure compliance with accounting standards and rules
- Assist senior leadership with annual budget forecasting and periodic reforecasting
- Communicate financial information as appropriate to management, leadership, and respond timely, professionally, and accurately to member and vendor account inquiries
QUALIFICATIONS AND KEY COMPETENCIES
- Bachelor’s Degree in Accounting or related field
- 5 years of demonstrated experience and proficiency in non-profit accounting/bookkeeping, accounts payable and accounts receivable
- High level of proficiency using ADP and desire to learn and master new platforms quickly and accurately
- Expertise in G/L accounting software such as QuickBooks, or others
- Ability to quickly learn proprietary database software (ShulCloud)
- Ability to work independently but also collaboratively with fellow management team members
- Ability to manage multiple tasks effectively and efficiently and to meet deadlines
- Keen attention to detail and accuracy; strong communication skills
HOURS, COMPENSATION, AND BENEFITS
- 20 flexible hours/week M-F
- Salary range: Compensation for this position is competitive with experience
