We are seeking a dedicated, organized, and efficient assistant mechanical project manager to join our team. In this role, you will work with the Project Manager and Team to coordinate and accomplish the necessary project tasks and requirements. The best matched candidate must have a sharp eye for detail, "go-getter" personality, and ready to help in all areas of the project elements to make make them operate successfully.
Job Duties and Responsibilities Include (but not limited to):
- Assist Mechanical Project Manager with the execution of the management plan for specific/assigned projects, including coordination and managing the project from turnover to closeout.
- Help create, manage, and maintain the project budget.
- Successfully coordinate and execute daily administrative and operational tasks to include (but not limited to) scheduling meetings, phone calls, site visits.
- Facilitate communications between Project Manager and Field Staff to include (but not limited to), scheduling and confirming deliveries to field staff.
- Track and directly report project status updates to Project Manager.
- Help problem-solve issues and suggest ways to improve the project profitability, if applicable.
- Enter, organize, file, and maintain all current project documents and information using required software and/or programs.
- Enter information into and manage the digital project databases (primarily Foundations Software).
- Assist in ensuring compliance with necessary specifications.
- Help create/adhere to project timeline and calendar.
- Consult with and gather information from technicians, engineers, contractors, etc.
- Maintain positive vendor and client relationships.
- Ensure project adheres to a set schedule and is meeting the goals of the General Contractor and/or Client.
Requirements and Qualifications Include (but not limited to):
- Bachelor’s in business management or related field preferred
- 2 years of experience in project management or as an executive administrative assistant, preferably within mechanical construction field.
- Knowledgeable in our specific field - Plumbing and HVAC
- Proficient in Foundations Software, Microsoft Office, Bluebeam, and other software.
- Organized and detail-oriented
