About The Role

The Insurance Claims Coordinator plays a critical role in managing and resolving insurance claims related to accidents, damage, theft, and other covered events. This position serves as a strategic liaison between TEL and external stakeholders—including trucking operators, insurance adjusters, and repair vendors—as well as internal departments such as Maintenance, Treasury, Accounting, and Fleet Leasing. This role is responsible for overseeing the full lifecycle of insurance claims, exercising independent judgment in evaluating documentation, determining claim viability, and ensuring timely and fair resolution. By driving efficient claims administration and recovery, this role directly supports TEL’s financial performance, risk mitigation efforts, and operational continuity.

What You’ll Do

  • Collect and confirm evidence of damage or loss and coordinate estimates in cooperation with TEL Fleet Maintenance partners.
  • Evaluates claim documentation and recommends appropriate actions to ensure compliance with insurance policies and TEL standards.
  • Determines sufficiency of claim evidence and negotiates with adjusters to ensure fair outcomes.
  • File insurance claims with insurance carriers with or on behalf of our customers.
  • Ensure payment by insurance companies is made, either directly to repair shops for all repair work done, with evidence of work completed satisfactory to TEL, or to TEL, in which case the Claim Coordinator would work with the accounting department to properly apply the funds to maintenance escrow and other accounts.
  • Confirm payments on total loss claims exceed stipulated loss values and work with accounting and equipment sales professionals to ensure total loss claim payments are fair and sufficient.
  • Frequent and persistent follow up with insurance adjustors, repair shops, and customers on timelines and requirements to collect on the insurance claims including estimates, invoices, Letters of Guarantee, Limited POAs, title copies, etc.
  • Work with TEL Treasury accounting on lien release and title issues to satisfy requirements on total loss claims.
  • Generate accurate and timeline reporting of claims status and collection efforts.
  • Continuously learn, share, and implement improvements in all processes and responsibilities as needed to enhance the effectiveness of providing world-class service and support.
  • Maintain clear, concise, and courteous communication at all times with all stakeholders—whether by phone, email, or in person—to ensure information is fully understood and not open to misinterpretation or misunderstanding. Precisely, professional communication is critical to the success of this role.
  • Ensure accurate, timely, and comprehensive record keeping in the Company’s CRM (Salesforce) that enables transparent, efficient, and informed collaboration among cross-functional teams, management, and executives. Entries must be complete, up-to-date, and easy for others to understand and act upon.


Knowledge Skills And Abilities

To be effective in this role, the ideal candidate will have the following attributes.

  • Strong understanding of insurance claim processes, coverage types, and documentation requirements, including total loss valuation and subrogation procedures.
  • Ability to assess claim documentation, identify gaps, and make informed recommendations to expedite resolution and ensure fair outcomes.
  • Understanding of how insurance claims impact financial recovery, risk mitigation, and overall business operations.
  • Demonstrated ability to make decisions on matters of significance, including evaluating claim viability, negotiating with adjusters, and determining appropriate next steps.
  • Excellent written and verbal communication skills for engaging with insurance carriers, customers, and internal stakeholders professionally and persuasively.
  • Skilled in using enterprise systems such as KARMAK, Salesforce, and other claims or accounting platforms to track, report, and manage claim activity.
  • Ability to identify inefficiencies in claims handling and recommend or implement process enhancements to improve speed and accuracy.
  • High level of accuracy in reviewing estimates, invoices, and claim documentation to ensure compliance and completeness.
  • Strong organizational skills with the ability to prioritize tasks, manage multiple claims simultaneously, and meet deadlines consistently.
  • Ability to build and maintain productive relationships with internal departments and external partners, including adjusters and repair vendors.
  • Exceptional ability to communicate clearly, directly, and courteously across all channels—phone, email, and in person—ensuring mutual understanding, preventing misinterpretation, and fostering trust and professionalism in every interaction.
  • Demonstrated commitment to accurate, timely, and detailed record keeping in CRM systems that promotes transparency, knowledge sharing, and alignment across departments, management, and executive leadership.


Education And Experience

  • Bachelor’s degree in Business Administration, Finance, Risk Management, Insurance, or a related field preferred; equivalent professional experience may be considered.
  • Minimum of 3–5 years of progressively responsible experience in insurance claims management, risk analysis, or a related administrative function.
  • Experience working with insurance carriers, adjusters, and financial departments in a business-to-business environment.
