Key Responsibilities
- Schedule examinations using the internal scheduling database.
- Confirm exam dates and times with physicians’ offices and ensure all parties are informed of changes.
- Communicate with clients regarding scheduling updates, physician CVs, no‑shows, cancellations, and receipt of medical records or imaging.
- Verify and document the receipt of records for record‑review referrals.
- Prepare and send daily exam notification letters.
- Serve as a main point of contact for physicians, clients, and examinees.
- Submit invoices or billing issues to the accounting team when applicable.
- Ensure pre‑payment for services is collected when required.
- Coordinate ancillary services such as interpretation, chaperones, transportation, or exam site rentals as needed.
- Respond promptly to requests for report statuses or additional information.
- Provide support to other office locations when required.
- Arrange lodging and transportation for out‑of‑town examinees.
- Process incoming and outgoing mail, packages, and deliveries.
- High school diploma or equivalent required.
- Minimum of one year of related experience (medical scheduling, healthcare call center, administrative healthcare support, etc.).
- Prior experience in a medical office setting preferred.
