Position Overview
The Operations Administrator provides essential administrative and operational support to ensure smooth day -to-day business activities. This role works closely with operational teams and project managers to maintain accurate records, support timesheet and invoicing processes, coordinate onboarding logistics, and assist with reporting and general administrative tasks. The ideal candidate is highly organized, detail-oriented, technologically proficient, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities
- Administrative, Operational Support & Client Coordination:
- Maintain accurate employee timesheet records and coordinate data entry for payroll processing.
- Support invoicing processes, including collecting timesheet approvals and preparing invoice packages.
- Provide general support to Project Managers and Operations Managers (e.g., assist with scheduling, document preparation, and basic project coordination tasks).
- Assist with general office administrative tasks, including filing, document preparation, and data entry .
- Serve as a point of contact for routine client communication and correspondence related to scheduling, invoicing, and project administration.
- Ensure all work is completed in compliance with company policies and procedures.
- Onboarding & Coordination:
- Support onboarding logistics for new hires, including preparation of materials, document tracking, and scheduling orientations.
- Coordinate with HR and operations to ensure smooth onboarding of field and office staff.
- Reporting & Records Management:
- Assist in maintaining internal trackers and reports to support operational oversight.
- Prepare basic reports for leadership as needed (e.g., headcount tracking, onboarding status).
- Maintains organized records, files, and logs consistent with company policies.
- Additional Duties:
- Perform other related duties as assigned to support business needs.
- Continuously seek opportunities for professional development and contribute to team-wide learning and growth.
Requirements (Education, Experience, Skills & Attributes):
- High school diploma or equivalent required.
- 2 years of administrative or operations support experience.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word).
- Strong multi-tasking skills with ability to support multiple managers and projects concurrently.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Professional demeanor and strong interpersonal communication skills.
- Ability to maintain confidentiality and exercise discretion.
- Associate degree preferred.
- Prior experience supporting timesheet, invoicing, or onboarding processes.
- Experience in a technical, industrial, or construction environment.
- Experience working in a multi-entity, and/or union/non-union environment.
