What are the responsibilities and job description for the Installations Coordinator position at Tech Valley Recruiting?
We need a systems-minded Service Project Coordinator to take charge of installations happening across the country. Every install — from simple replacements to large-scale rollouts — will flow through you. You’ll work directly with contractors, installers, distributors, and internal teams to ensure projects stay on track, communication flows smoothly, and every site is ready to go.
This role is all about ownership: managing logistics, resolving issues, holding vendors accountable, and creating repeatable processes to make things run better, faster, and more consistently.
Key Performance Objectives
1. Coordinate All Installations Nationwide
Act as the single point of contact for coordinating all customer installations.
Manage 10–20 active install projects at any time, occasionally with multiple contractors per site.
Communicate project status, contractor progress, and roadblocks clearly with internal stakeholders.
Work closely with Sales Order Entry and the Service Manager to stay aligned on priorities and scope.
2. Manage Contractor Relationships & Accountability
Coordinate with installers (typically subcontractors) across various regions.
Identify when current contractors don’t have full capabilities and assemble teams using multiple vendors (installers, electricians, concrete, etc.).
Source and vet new contractors where coverage is thin, including handling quotes, agreements, and onboarding.
Proactively follow up to ensure work is completed per expectations — escalate issues when needed.
3. Streamline & Improve the Installation Process
Help standardize install coordination by refining internal workflows and documentation.
Maintain visibility across all moving parts — from installer timelines to customer communications.
Build basic tracking systems for contractor performance, coverage gaps, and project status updates.
Document what works (and what doesn’t) to improve future installations.
4. Provide Backup Support to the Service Team
Act as backup to the Parts Administrator and Service Manager during vacations or high-volume periods.

What You Bring
Proven experience coordinating field projects or installs — ideally in construction, facilities, or technical service environments
Comfort working with contractors and installers remotely
Strong ability to juggle multiple active projects without losing track of details
Excellent written and verbal communication skills — especially when things get tricky
Confidence holding vendors accountable while maintaining professional relationships
Familiarity with Microsoft Office (Excel, Outlook, Word); ERP or shipping software is a plus
Bonus: Experience creating or refining internal SOPs, vendor scorecards, or subcontractor agreements
