Primary Function
Serve as a critical operational and administrative partner within the creative production team, acting as a liaison between internal Production, clients, and external vendors. This role supports the ownership of coordination, tracking, and compliance of production-related contracts, agreements, and legal documentation. The position blends production coordination with contracts administration, ensuring all productions are not only delivered on time and on budget, but are also properly documented, compliant, and contractually sound.
Pay: $75-80k
Onsite: San Antonio, TX - NO RELOCATION
Duties & Responsibilities
- Schedule and manage internal and client meetings, including agendas and follow-ups
- Support on-set production needs for studio and location shoots as required
- Generate weekly production status reports across active and upcoming projects
- Maintain organization of digital media assets and production files
- Ensure smooth communication across internal teams, freelancers, and vendors
- Draft, review, route, and track production-related contracts including Statements of Work (SOWs), vendor agreements, freelance/crew contracts, and location/talent releases
- Act as liaison between Production, Legal, Procurement, and external partners to ensure timely contract execution
- Maintain a centralized contracts tracking system, ensuring all agreements are properly executed, filed, and accessible
- Monitor contract timelines, deliverables, payment terms, and compliance requirements
- Support risk mitigation by ensuring proper documentation, insurance certificates, and releases are secured prior to production
- Assist with contract redlines and version control in collaboration with legal teams
- Ensure adherence to company policies, legal standards, and production compliance requirements
- Track budgets in coordination with Producers and flag discrepancies or risks
- Support invoice tracking and vendor onboarding processes
- Maintain accurate production documentation, reporting, and data entry
- Identify opportunities for operational efficiencies and improved workflows
- Provide high-touch service to internal stakeholders and clients
Skills & Qualifications
- Strong organizational and multitasking abilities with exceptional attention to detail
- Ability to manage both creative production workflows and administrative/legal processes simultaneously
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (especially Excel for tracking, reporting, and data management)
- Familiarity with Adobe Creative Suite and production tools
- Working knowledge of production terminology, workflows, and on-set operations
- Foundational understanding of contracts, legal documentation, or compliance processes
- Ability to work under pressure and meet tight deadlines with a high degree of accuracy
- Strong interpersonal skills with the ability to collaborate across teams and with external partners
Education & Experience
- Bachelor’s degree in Film/Video Production, Communications, Business, Legal Studies, or related field
- 3 years of experience in production coordination, office administration, legal support, or similar role
- Exposure to contracts management, legal operations, or paralegal work
- Experience as a Production Assistant or Coordinator in film, video, or advertising preferred
