We are a high-performing real estate team in Gig Harbor, the Founder, CEO, and producing agent is looking for an Executive Assistant who operates with urgency, discretion, and ownership.
This role exists to protect and leverage CEO's time. You will manage her calendar, communications, and vendor relationships so she stays focused on production and leadership. You will be in the office every day, serving as the operational anchor for the team.
This is not a passive role. We need someone who anticipates problems before they happen, executes without being asked twice, and treats every task — big or small — as a direct reflection of the business.
About the Role
This is not a traditional administrative position.
You will be the right hand to leadership, helping organize priorities, coordinate projects, manage schedules, and create systems that allow the team to operate at a high level. Your success will be measured by your ability to anticipate needs, solve problems, and create efficiency.

Responsibilities
Executive Support
- Manage calendars, appointments, and scheduling
- Coordinate meetings and prepare agendas
- Organize travel, events, and leadership commitments
- Assist with email management and communication
- Prepare presentations, reports, and meeting materials
Project Coordination
- Track projects and ensure deadlines are met
- Follow up on tasks and commitments across the team
- Maintain project management systems and workflows
- Coordinate marketing campaigns, events, and special initiatives
- Assist with implementation of new processes and systems
Operations & Communication
- Serve as a communication hub between leadership and team members
- Document processes and maintain organizational systems
- Coordinate vendors, contractors, and service providers
- Support recruiting, onboarding, and administrative initiatives
- Identify opportunities to improve efficiency and organization
Required Qualifications
- Minimum 2 years of Executive Assistant, Administrative Assistant, Operations Coordinator, or Project Coordinator experience
- Strong organizational and time management skills
- Excellent written and verbal communication
- High attention to detail
- Ability to manage multiple priorities simultaneously
- Proficiency with Google Workspace, Excel, CANVA and project management software
- Professional, dependable, and trustworthy
Preferred Qualifications
- Experience supporting executives or business owners
- Experience in real estate, marketing, operations, or professional services
- Familiarity with Canva, CRM systems, and task management platforms
