Role Description
As a key driver of TAP’s teacher pipeline work, the Program Manager ensures every step—from recruitment to hiring—is seamless, efficient, and mission-aligned. The role balances detail-oriented execution with initiative and problem-solving to deliver an exceptional experience for candidates and partners. Working in close collaboration with the Senior Program Manager, Senior Director of Programming, and fellow Program Managers, you will lead recruitment efforts, support candidate onboarding and hiring, and ensure the smooth execution of all TAP events and milestones. This position is both candidate-facing and operational—requiring strong organization, communication, and follow-through.

Requirements
- Required:
- Bachelor's degree required
- 2 years of experience in program coordination, operations & logistics, education or recruitment
- Strong attention to detail and organizational skills
- Comfort working with spreadsheets, digital tools, and task-tracking systems
- Strong written and verbal communication skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Commitment to TAP's mission of expanding access to high-quality teachers
- Strongly preferred:
- Experience working with college students or career-changing professionals
- Familiarity with Miami-Dade County Public Schools or local universities
- Event planning or project management experience
Reporting/Accountability
- Location: Miami, FL (Hybrid)
- Reports To: Senior Program Manager – Miami
- Status: Full-Time, Exempt
Work Schedule & Flexibility
This is a full-time, hybrid position based in Miami. Team members are expected to work from the TAP office at Converge Miami in Allapattah or in the field at least two days per week. Occasional evenings and weekends are required for events and program needs.
Responsibilities
Program Operations & Event Management
- Plan and coordinate logistics for TAP programming events including orientations, interest sessions, PD workshops, and TAP Summer
- Secure venues, schedule sessions, order food and supplies, send out invites and reminders, and manage RSVPs
- Track program supply inventory and order materials as needed
- Work with Directors to improve systems and introduce more efficient workflows
Candidate Support & Hiring
- Serve as a direct point of contact for TAP teacher candidates
- Guide candidates through steps including fingerprinting, enrollment, testing registration, and submission of certification documents
- Follow up with candidates who miss deadlines and provide extra support as needed
- Help candidates complete applications for M-DCPS and support their hiring process from start to finish
Recruitment
- Support the execution of recruitment events (e.g., tabling, class visits, interest sessions)
- Follow up with prospective candidates and maintain accurate communication records
- Conduct interviews and participate in the selection process of TAP candidates
- Help manage TAP’s presence on social media and in campus spaces
- Create and send the weekly TAP Newsletter
Data, Communication, & Systems Management
- Track candidate progress through the program and update internal data systems accordingly
- Monitor and maintain accurate records on testing, surveys, and onboarding milestones
- Maintain the Miami program calendar and send reminders for upcoming deadlines, meetings, and events
Team Collaboration & Strategic Support
- Attend weekly team meetings and take meeting notes
- Support planning and execution of strategic initiatives as assigned
- Collaborate with the Achieve Miami team on financial processes and support documentation needs

The Program Manager role follows a predictable annual cycle, with distinct phases and focus areas throughout the year. The outline below provides a general overview of responsibilities by season.
Fall (Aug–Oct)
Recruitment Launch Candidate Hiring
Visit college classes and host interest sessions to introduce TAP. Attend community events and conduct candidate interviews. Begin application review and candidate interviews. Support the Senior Program Manager in securing employment for the previous cohorts’ teachers.
Winter (Nov–Jan)
Candidate Onboarding
Career Fairs and in-the-filed recruitment. Attend community events and conduct candidate interviews. Continue application review and candidate interviews. Guide accepted candidates through fingerprinting, testing registration, and certification prep. Host onboarding sessions and track progress on milestones.
Spring (Feb–Apr)
Progress & Hiring
Finalize recruitment. Monitor candidate readiness for summer placement. Conduct check-ins, run small group sessions for support, and help candidates apply for district positions. Support with testing and certification requirements. Prepare for TAP Summer.
Summer (May–Jul)
TAP Summer Implementation
Oversee overall candidate management over summer. Serve as the main point of contact for a region of the part-time summer team. Work on key projects for the following year. Prepare for the next cycle.
