POSITION: Administrative Assistant
REPORTS TO: Chief Executive Officer (CEO)
PURPOSE OF POSITION:
- Provides administrative support that allows the CEO to focus on high-level
leadership and strategic priorities.
- Supports the CEO in managing communications with staff, board
members, partners, and donors to strengthen fundraising and investor
relations.
- Coordinates communication with internal and external stakeholders,
maintaining professionalism and alignment with T1L1’s culture of
excellence and celebration.
- Assists in planning, organizing, and executing fundraising initiatives,
events, and investor relations activities.
- Maintains organized records, correspondence, and scheduling to keep the
CEO’s priorities aligned with fundraising goals and organizational
objectives.
QUALIFICATION REQUIREMENTS:
FUNCTIONS AND ACCOUNTABILITIES:
I. Administrative Support
- Provides administrative support to the CEO.
- Coordinates domestic and international travel arrangements for the
CEO and other executives.
- Serves as the primary point of contact between the CEO and
internal staff.
- Organizes and prioritizes information, correspondence, and
contacts for the CEO’s review and follow-up.
- Manages time-sensitive and highly confidential information with
discretion and professionalism.

- Prepares correspondence, reports, and presentations on behalf of
the CEO.
- Manages the creation of investor communications, including letters,
memos, charts, and tables, on a regular schedule.
- Manages the CEO’s calendar, coordinating meetings,
appointments, and scheduling priorities.
- Recruits and supervises volunteers to enhance the efficiency and
impact of this role.
- Processes expense reports for the CEO.
- Completes additional projects and assignments as directed by the
CEO.
II. Investor Acquisition & Nurturing Coordination
- Serves as a liaison between the CEO and external
contacts/supporters to assist in recruiting and nurturing.
- Monitors and records all investor communications in the investor
management database (Keap) in a timely and accurate manner.
- Handles financial transactions and investment documentation
received by the CEO promptly and with confidentiality.
- Communicates with investors to coordinate logistics and provide
updates related to company activities and initiatives.
- Completes additional projects and assignments as directed by the
CEO.
III. Board of Directors Logistics
- Coordinates logistics for weekly, quarterly, and off-site meetings.
- Prepares and distributes meeting materials for the Board of
Directors, Executive Team, and staff.
- Assists the CEO in managing the process of recruiting and
onboarding potential board members.
- Completes additional special projects and assignments as directed
by the CEO.
IV. Event Planning & Logistics
- Works independently in a fast-paced environment to coordinate all
aspects of company-sponsored conferences, retreats, and
fundraisers led by the CEO.
- Serves as project manager for conferences, retreats, and
fundraising events initiated or directed by the CEO.
- Oversees logistics for events, including venue selection, catering
arrangements, and vendor coordination.
- Completes additional projects and assignments as directed by the
CEO.
QUALIFICATION REQUIREMENTS:
- Bachelor’s degree or equivalent combination of education and experience.
- Demonstrated administrative support experience, preferably in a nonprofit
or executive-level setting.
- Exceptional verbal and written communication skills, with the ability to
handle sensitive and confidential information with discretion.
- Strong interpersonal skills with demonstrated poise, tact, and
professionalism in all interactions.
- Highly organized, detail-oriented, and skilled at managing multiple
priorities in a deadline-driven environment.
- Proactive self-starter who anticipates the needs of the CEO and provides
timely, accurate information.
- Proficient in Google Workspace and Microsoft Office Suite; skilled in
Canva and other digital tools for creating visual reports and presentations.
- Capable of translating data into clear, visually engaging reports and
materials.
- Strong follow-through, time management, and prioritization skills.
WORKING CONDITIONS AND EXPECTATIONS:
- Office environment.
- Minimal out-of-town travel
- Some after-hours support required
- Wide degree of creativity and latitude expected
Job Type: Full-time
Pay: $40,000.00 per year
