Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for supporting daily operations, managing administrative tasks, and ensuring smooth communication within the organization. Bilingual abilities are a plus, as well as experience with medical or dental reception, bookkeeping, and personal assistant duties.
Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Coordinate calendar management and schedule appointments using Microsoft Office and Google Workspace tools
- Handle customer support inquiries via phone, email, or in person, providing excellent service and support
- Utilize QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking
- Assist with office management responsibilities including supply ordering, mail distribution, and maintaining office equipment
- Support medical or dental reception duties as needed, including patient check-in/out and appointment scheduling
- Maintain confidentiality of sensitive information while managing administrative records efficiently
- Support other administrative functions such as typing correspondence, organizing files, and supporting team members with personal assistant tasks
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong communication skills, including phone etiquette and customer service experience
- Bilingual abilities are advantageous for diverse client interactions
- Ability to manage calendar schedules accurately and prioritize tasks efficiently
- Previous experience as a receptionist (medical or dental), personal assistant, or office manager is desirable
- High school diploma or equivalent required; additional certifications in office administration are a plus
Pay: $25.00 per hour
Expected hours: 40 per week
