Working alongside physicians, attorneys, and healthcare providers, we deliver advanced diagnostic testing including qEEG Brain Mapping, computerized vestibular assessments, and cognitive evaluations to help patients receive the care they deserve.

Job Summary
As the first point of contact for our patients, you will play a vital role in creating a welcoming experience while coordinating appointments, verifying documentation, communicating with attorneys and medical providers, and ensuring smooth daily office operations.
The ideal candidate is professional, detail-oriented, and enjoys helping patients navigate their care.
Duties
- Greet patients with professionalism and compassion
- Answer multi-line phone system and respond to patient inquiries
- Schedule new patient consultations and follow-up appointments
- Coordinate with attorneys, medical providers, and referral sources
- Verify receipt of referrals and required documentation
- Collect patient demographics and ensure accurate intake paperwork
- Scan and upload medical records into the electronic health record (EHR)
- Obtain signed consents and maintain HIPAA compliance
- Monitor office email, voicemail, and fax communications
- Maintain an organized reception area and patient flow
- Assist patients with questions regarding appointments and testing procedures
- Coordinate outgoing records and reports when requested
- Track pending referrals and follow up as needed
- Assist management with administrative projects and office support
Experience
- High school diploma or GED
- Professional appearance and positive attitude
- Prior clinic or medical office experience is required, with familiarity in clinic settings preferred.
- Demonstrated proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks is essential.
- Strong knowledge of medical terminology, medical billing procedures, insurance verification processes, and health information management.
- Experience handling multi-line phone systems, phone etiquette, and providing excellent customer service in a healthcare setting.
- Bilingual abilities are highly desirable to effectively communicate with diverse patient populations.
- Proven clerical skills including filing, data entry (10 key typing), appointment scheduling, and document review are necessary to succeed in this role.
- Knowledge of clinical confidentiality policies and healthcare compliance standards such as HIPAA is critical for maintaining patient privacy.
