POSITION SUMMARY:

The Product Development Administrative Assistant provides critical organizational and logistical support to the Product Development and Creative Teams. This role ensures that design projects, product testing, team shipments, and event preparations run smoothly from start to finish. The ideal candidate loves keeping things organized, thrives in anticipating and meeting needs of others and finding joy in the behind-the-scenes details that helps a team shine.


KEY RESPONSIBILITIES:

Design & Creative Team Support

·      Prepare and execute product shipments for the Design Team and Creative Contributors.

·      Collaborate with Stamp, Stencil, and Print Production teams to gather products for shipments.

·      Coordinate with Shipping to ensure timely delivery and accurate tracking of products sent, maintaining updated records in the Creative Team spreadsheet.

·      Maintain and organize the craft room according to current systems, ensuring it remains stocked, tidy, and ready for use.

·      Organize new and upcoming products into release “buckets”.

·      Track incoming design team mail and cards, logging details into the spreadsheet.

 

Administrative & Logistical Support

·      Manage inventory levels in the craft room and general office; restocking supplies as needed.

·      Gather and organize products and supplies for live and recorded videos.

·      Assist with setting up the video space for live events, recordings, and product launches.

·      Assist with team scheduling ensuring spaces are reserved and needed supplies are gathered. 

·      Take notes during select team meetings and brainstorming sessions to capture ideas, action items, and next steps.

·      Restock PD office and breakroom supplies.

 

Errands, Purchasing & Event Assistance

·      Occasionally pick up lunch or beverages (HYPER) for team meetings and events.

·      Purchase items for events, lives, or gifts; process returns for product tests or other items.

·      Conduct light research for candy, designer gifts, or special items for event boxes or mailings.

·      Provide general event setup assistance, ensuring details are completed with excellence and creativity.


QUALIFICATIONS & SKILLS

·      Proven experience in administrative support, office coordination, or event logistics (experience in a creative or production environment is a plus).

·      Strong organizational skills and attention to detail.

·      Comfortable using Microsoft Office, Google Workspace, and project management tools such as Basecamp.

·      Excellent verbal and written communication skills.

·      Ability to manage multiple priorities, meet deadlines, and adapt to shifting needs.

·      Positive, can-do attitude with a collaborative spirit.

·      Able to occasionally lift boxes up to 25 lbs and move supplies or event materials.

·      Passion for creativity and appreciation for handmade or paper crafting is a plus!
