The Event Project Manager is the operational lead responsible for delivering experiential marketing projects from kickoff through completion. Working closely with the Account Manager, Event Producer, and Creative Designer, you’ll oversee project planning, budgets, timelines, logistics, permitting, engineering coordination, staffing, vendor management, and client communication throughout execution.
This role is responsible for ensuring every project is delivered on time, within budget, and at the highest level of quality.

- Lead internal project kickoffs following client approval.
- Develop comprehensive project timelines and workback schedules.
- Manage multiple experiential marketing projects simultaneously.
- Monitor project budgets and overall profitability.
- Identify risks and proactively develop solutions.
- Facilitate weekly internal production meetings.
- Serve as the primary operational contact for clients during execution.
- Coordinate communication between internal teams, vendors, and clients.
- Ensure project milestones, deliverables, and approvals remain on schedule.
- Maintain organized project documentation and reporting.
- Oversee procurement and production timelines.
- Coordinate freight, shipping, storage, and warehouse logistics.
- Support installation and dismantle planning.
Working collaboratively with the Event Producer, you will:
- Develop permitting timelines and approval schedules.
- Coordinate permit applications with municipalities, venues, and governing agencies.
- Partner with structural engineers, architects, and technical consultants.
- Ensure engineering drawings, site plans, and required documentation are submitted on time.
- Track approvals, inspections, and compliance requirements.
- Communicate permitting and engineering status to clients and internal teams.
- Support onsite production during key activations.
- Ensure projects transition smoothly from planning to onsite execution.
- Lead post-event project closeout, budget reconciliation, and internal recaps.
- 4 years of project management experience in experiential marketing, live events, production, or agency environments.
- Proven ability to manage multiple projects simultaneously.
- Strong budgeting, scheduling, and organizational skills.
- Excellent written and verbal communication skills.
- Comfortable managing fast-paced deadlines and changing priorities.
- Ability to travel nationwide for client meetings and event execution.
- Experience managing experiential marketing activations, sponsorships, or mobile tours.
- Knowledge of permitting processes, venue requirements, and engineering coordination.
- Experience with fabrication vendors and custom-built event environments.
- Proficiency with Google Workspace, Microsoft Office, and project management platforms such as Monday.com, Asana, or Smartsheet.
