About the Role:
We are seeking a motivated, organized, and client-focused Tax Operations & Client Services Coordinator for our North Houston office. This is not a sit-in-the-back-and-file-papers position. You will be at the center of everything — making sure clients are taken care of, tax returns are done right, resolution cases are moving forward, and the office runs smoothly every single day. What You Will Do
Client Experience
- Serve as the face of the firm — the first voice clients hear and the first face they see when they walk through the door
- Build genuine relationships with clients and make them feel confident they came to the right place
- Follow up with clients by phone, text, and email to keep them informed on their return or case status
- Proactively contact clients whose cases are waiting on documents or moving slower than expected
- Handle client concerns professionally and escalate to licensed staff when needed
- Represent the firm with professionalism and warmth at every interaction
Tax Preparation Support
- Prepare individual tax returns — W-2, 1099, self-employed, and basic business returns
- Review client documents for completeness and accuracy before preparation begins
- Follow up with clients on missing W-2s, 1099s, IRS notices, and supporting documents
- Perform quality control checks on completed returns before filing
- Monitor the preparation workflow and flag returns that are delayed, incomplete, or not following firm procedures
IRS & Resolution Case Support
- Work directly alongside licensed Enrolled Agents and Tax Attorneys on active IRS resolution cases
- Collect and organize client documents required for IRS submissions — financial statements, tax transcripts, proof of income, and hardship documentation
- Prepare and organize complete information packages to be submitted to the IRS and other tax authorities
- Track all active case deadlines and follow up internally when cases are not moving on schedule
- Maintain detailed, organized, and compliant digital and physical case files
- Make sure no client case sits idle or misses a critical deadline
Quality Control & Compliance
- Monitor the day-to-day tax prep process to ensure all preparers are following company policies and standards
- Identify gaps in workflow and bring them to management's attention immediately
- Ensure every client file is complete, accurate, and properly documented before it is closed
- Flag any incoming IRS notices to the appropriate licensed team member right away
Office & Administrative Support
- Manage appointment scheduling and the new client intake process
- Maintain and update client records in the case management system
- Walk new clients through our process so they know exactly what to expect
- Support the team with day-to-day administrative tasks as needed
Who We Are Looking For ✅ Some tax preparation experience — or a strong willingness to learn ✅ Outstanding communication skills — phone, in person, and written ✅ Highly organized with sharp attention to detail ✅ Comfortable juggling multiple responsibilities and deadlines at once ✅ Trustworthy and professional with sensitive financial and personal client information ✅ Bilingual English/Spanish strongly preferred — essential for our North Houston client base ✅ A self-starter who takes initiative and does not need to be micromanaged ✅ Experience with tax software such as Drake, TaxWise, or UltraTax is a plus
