Duties
- Enter and update data into company databases with precision and speed, ensuring accuracy at all times
- Manage filing systems—both electronic and physical—to keep documents organized and accessible
- Support front desk operations by greeting visitors, answering multi-line phone systems, and providing exceptional customer service
- Assist with calendar management, scheduling appointments, and coordinating meetings for team members or executives
- Proofread documents for errors, inconsistencies, or formatting issues before submission
- Handle basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes
- Provide general administrative support such as copying, scanning, faxing, and maintaining office supplies
Experience
- Proven clerical or administrative experience in an office environment is preferred
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar, Drive)
- Experience with data entry tasks requiring high accuracy and fast typing speeds (minimum of 60 words per minute)
- Familiarity with office management procedures such as filing systems, calendar management, and record keeping
- Customer service experience demonstrating excellent phone etiquette and professionalism on multi-line phone systems
- Bilingual abilities are a plus to effectively communicate with diverse clients or team members
- Previous roles as a dental receptionist, medical receptionist, personal assistant, or in bookkeeping are advantageous but not required
