Job Overview
Tax House Miami is seeking a professional, reliable, and highly organized Front Desk Receptionist to join our in-office team. This is a key client-facing role responsible for managing daily front desk operations, supporting the tax and accounting team, and delivering exceptional customer service in a fast-paced environment—especially during peak tax season.
The ideal candidate is bilingual (English/Spanish required), detail-oriented, comfortable handling high call and client volume, and has prior experience in a tax, accounting, or professional services office (strongly preferred).
Key Responsibilities
- Greet clients and visitors professionally and ensure a positive first impression
- Manage a high-volume, multi-line phone system and direct calls appropriately
- Schedule, confirm, and manage client appointments using Google Workspace and/or Microsoft Office
- Assist with client intake, document collection, and basic file organization
- Perform accurate data entry, scanning, filing, and document review
- Handle client communications via phone, email, and in person with professionalism and discretion
- Send appointment reminders and follow-up communications
- Assist with invoicing, payments, and basic QuickBooks tasks (when applicable)
- Support administrative needs of tax preparers and accounting staff
- Maintain front office organization, supplies, and client records
- Uphold confidentiality and compliance standards related to tax and financial information
Required Skills & Qualifications
- Bilingual in English and Spanish (required)
- Prior experience in a tax office, accounting firm, or financial services environment is a strong plus
- Excellent customer service and professional phone etiquette
- Ability to work in person in a fast-paced, deadline-driven environment
- Strong organizational and time-management skills
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Comfortable using office systems, scheduling tools, and multi-line phone systems

- Knowledge of QuickBooks or bookkeeping is a plus
