We are seeking a professional and organized Front Desk / Receptionist to join our condominium management team. Responsibilities
- Greet residents, visitors, and vendors in a courteous and professional manner
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle front desk operations including check-ins, appointments, and visitor logs
- Maintain accurate records through data entry, filing, and document management
- Utilize office software such as Microsoft Office, Google Workspace, and Concierge Plus for administrative tasks
- Support calendar management for maintenance schedules, meetings, and events
- Ensure the reception area is tidy, organized, and welcoming at all times
- Provide exceptional customer support by addressing resident concerns promptly and professionally
- Proofread correspondence and documents for accuracy before distribution
- Perform clerical duties including photocopying, faxing, and mailing
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with excellent time management abilities
- Experience with office management systems and clerical procedures
- Bilingual communication skills are preferred to assist diverse residents effectively
- Knowledge of multi-line phone systems and phone etiquette standards
- Previous office or administrative experience in a customer service setting is desirable
- Ability to handle data entry accurately and efficiently while maintaining confidentiality
