We are seeking a highly organized, detail-oriented Project Coordinator to support client and internal projects. This role is ideal for someone who thrives in a fast-paced creative environment and enjoys balancing logistics, communication, and production management.

The Project Coordinator will primarily oversee client merchandise, swag, and collateral production projects while also supporting broader agency operations through timeline management, meeting coordination, and administrative project support. The ideal candidate is proactive, resourceful, and able to keep multiple moving pieces organized simultaneously.

Key Responsibilities

• Coordinate production and delivery of client merchandise, promotional items, swag, printed collateral, and branded materials
• Manage vendor communications, quotes, timelines, proofs, and production schedules
• Maintain organized production files, specifications, budgets and order histories
• Build and maintain project timelines, schedules, and status trackers across multiple client accounts
• Coordinate internal deadlines and ensure team accountability for deliverables
• Assist account and creative teams with project organization and workflow management
• Identify timeline risks and proactively communicate updates or adjustments
• Help prioritize tasks and keep projects moving efficiently
• Schedule internal and client meetings
• Maintain organized documentation and project records using ClickUp, our agency PM tool
• Support general agency operations and special projects as needed

Qualifications

• 1–3 years of experience in project coordination, account coordination, production, marketing, advertising, or a related field
• Exceptional organizational skills and attention to detail
• Strong written and verbal communication skills
• Ability to manage multiple projects and deadlines simultaneously
• Comfortable working with vendors, timelines, and production logistics
• Experience working in Microsoft Office and project management tools such as ClickUp, Asana, Monday.com, or similar
• Positive attitude, adaptability, and willingness to jump in where needed

Preferred Qualifications

• Experience in an advertising, creative, marketing, or branding agency environment
• Familiarity with print production or promotional merchandise processes
• Experience project coordination
