The Role

The Construction Administrative Assistant plays a critical role supporting Tasman’s Construction Department through a blend of office administration, project support, and job cost accounting. This position supports project teams from startup through closeout and serves as a primary point of contact for office visitors, vendors, and internal staff.

The ideal candidate is highly organized, detail-oriented, adaptable, and confident managing multiple priorities in a fast-paced construction environment. This role requires strong communication skills, comfort with financial and job cost data, and a proactive, team-oriented approach.

This position is primarily based in Colorado with little to no overnight travel.

What You’ll Be Doing General & Office Administration

  • Serve as the first point of contact for office visitors, creating a professional and welcoming environment
  • Manage daily office operations, including ordering office and field supplies
  • Coordinate with building vendors (HVAC, landscaping, janitorial, etc.)
  • Manage incoming/outgoing mail and courier shipments (FedEx/UPS)
  • Assist with scheduling meetings, appointments, and company events
  • Maintain organized electronic and physical filing systems
  • Support internal communications and office process improvements

Construction & Project Administration

  • Prepare and submit monthly client billings
  • Track daily time for direct and indirect staff
  • Prepare daily Labor, Equipment, and Materials (LEM) reports
  • Create job cost reports and assist with budget tracking
  • Manage and maintain multiple spreadsheets and logs
  • Enter equipment units and project data into NetSuite
  • Review monthly invoices against LEM reports for accuracy
  • Support procurement activities and vendor coordination
  • Assist with project startup and closeout documentation
  • Ensure field notes, reports, and compliance documentation are saved properly

What You Bring Required

  • High school diploma or equivalent
  • 1–5 years of administrative, accounting, or billing experience (construction or related industry preferred)
  • Proficiency in Microsoft Office, Outlook, and Excel
  • Ability to learn accounting and project management software
  • Strong organizational, time-management, and multitasking skills
  • Excellent written and verbal communication skills
  • High attention to detail and ability to maintain confidential records
  • Ability to work independently and collaboratively
  • Strong problem-solving skills and initiative-driven mindset
  • Authorization to work in the United States
  • Valid driver’s license

Preferred

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field
  • Experience in construction, oil & gas, or engineering industries
  • Proficiency with Oracle NetSuite and/or Microsoft Project

Work Environment

This role operates primarily in a professional office setting, with the ability to work remotely on a limited basis as approved. The employee is expected to work in the office at least three days per week.

Office Conditions

  • Regular use of computers, phones, copiers, and scanners
  • Collaboration with project managers, accounting, and operations teams

Physical Requirements

  • Sit or stand for extended periods
  • Regular use of hands for keyboarding and handling materials
  • Occasional lifting of office or field materials up to 30 pounds
  • Standing or walking for short periods throughout the day

Schedule

  • Full-time
  • Monday – Friday, typically between 8:00 a.m. – 5:00 p.m.
  • Occasional evening or weekend work based on project needs
  • Start and end times may vary depending on workload

Work Authorization

  • Must be authorized to work in the United States
  • Must possess a valid driver’s license
  • Must be able to pass drug screening - to include marijuana
