The Administrative Secretary will be responsible for assisting with the daily functions of the Constable’s Office including clerical and administrative tasks such as preparing reports, tracking budget expenditures, processing civil/criminal paperwork, and interacting with the public and other departments.

Essential Duties And Responsibilities

  • Prepares monthly and yearly civil and criminal reports as required by the State of Texas and the Tarrant County Auditor’s Office.
  • Enters daily civil and criminal papers and financials, tracks budget expenditures, and processes purchase requisitions and purchase orders.
  • Prepares and tracks incoming and outgoing correspondence and enters dispositions of completed paperwork.
  • Monitors and logs money and prepares deposits for civil service fees and constable sales.
  • Notifies attorneys and courts regarding service attempts and problems and reissues paperwork as necessary.
  • Coordinates and distributes paperwork for deputies; ensures proper documentation and handling of sensitive records.
  • Processes purchase requests, maintains inventory records and orders supplies as needed.
  • Maintains department and supervisor calendar and schedules appointments or meetings.
  • Greets and assists visitors in person or over the phone regarding document drop-off, service status, or general inquiries.
  • Prepares documentation for court purposes and generates routine reports from departmental systems.
  • Files and retrieves documents in accordance with records retention policies and procedures.
  • Performs other duties as assigned.

  • Ability to manage office filing systems and scheduling
  • Able to interact effectively with the public and coworkers
  • Excellent customer service and communication skills, both verbal and written.
  • Ability to work in a fast-paced environment.
  • Must be able to stay organized and know how to prioritize the workload.
  • Ability to work independently and as part of a team.
  • Proficient with computers and Microsoft Office 365 Suite.
  • Advanced analytical skills.

Minimum Requirements

  • High school diploma or GED.
  • Three (3) years of full-time office work experience.

Preferred Requirements

  • Bilingual (Spanish/English)
  • Prior experience working in law enforcement or legal setting

Physical Demands And Work Environment & Other Requirements

While performing the duties of this position, the incumbent is regularly required to bend, carry, climb stairs, use hand tools, hear, keyboard, kneel, lift to the side/twist, tolerate noise, tolerate hot and cold outside temperatures, push, pull, reach, reach overhead, perform repetitive tasks, see near, sit, squat, stand, stoop, talk, twist, use his/her hands, walk, and work with others.
