Position Summary
The Project Coordinator is responsible for ensuring projects are properly organized, documented, approved, and released into engineering and production. This position serves as the central coordination point between sales, clients, design, engineering, production, vendors, and installers. A primary focus of this role is Project Release Management—ensuring every project contains complete information, approved drawings, documented selections, and organized files before work begins. The Project Coordinator owns project documentation, file management, information flow, and release readiness to help projects move efficiently through the organization.
Key Responsibilities
Project Release Management
- Own and manage the project release process from approved sale through production readiness.
- Verify drawings, specifications, approvals, selections, schedules, and change orders are complete before release.
- Coordinate project handoffs between sales, design, engineering, and production.
- Maintain release checklists and enforce company release procedures.
- Identify missing information and proactively drive resolution.
Project Coordination
- Track project milestones and communicate status updates.
- Coordinate communication between clients, vendors, engineering, production, and installers.
- Support procurement coordination and scheduling activities.
- Monitor project progress and escalate potential delays.
File & Documentation Management
- Maintain project files within company systems.
- Ensure documentation is organized, current, and accessible.
- Track revisions, RFIs, approvals, change orders, and correspondence.
- Maintain version control and project records throughout the project lifecycle.
- Support continuous improvement of documentation standards.
Qualifications
- Strong organizational and project coordination skills.
- Exceptional attention to detail and follow-through.
- Excellent verbal and written communication skills.
- Ability to manage multiple projects simultaneously.
- Proficiency with Microsoft Office and business software.
Preferred Qualifications
- Experience in construction, custom cabinetry, millwork, manufacturing, or project management.
- Experience with project documentation and release processes.
- Familiarity with ERP, project management, or document management systems.
Pay: $28.00 - $37.00 per hour
