Definitions

The EMS Support Coordinator handles day to day office environment operations as assigned by the Director of Emergency Medical Services (EMS). This position is responsible for daily office operation to include scheduling EMS personnel, completing time and attendance records, processing incoming mail and managing appointments for multiple personnel and rooms.

Required Knowledge & Skills

Education: High School Diploma or GED

Experience: Two years of related experience. Requires working knowledge of specialized practices, equipment, and procedures.

Qualifications

Must have strong organization, communication, problem-solving, and interpersonal skills.

Must have an understanding of Emergency Medical Services.

Must have strong computer skills.

Functions

Area of Responsibilities

Produces documents and projects, including administrative correspondence, reports, bid responses, miscellaneous applications, forms, and mailings, transcribing, formatting, inputting, editing, retrieving, and copying text, graphics, and data.

Responsible for placing and receiving calls, answering or referring inquiries, and providing thorough and timely notifications to administrative staff verbally and in writing as needed and requested.

Reconciles purchase and work orders and forwards to AP for processing.

Facilitates the timely posting of various reports for review and use by the administration.

Maintains appropriate staffing levels for each team.

Monitor and review overtime pertaining to staffing levels.

Assure each employee meets their minimum hour requirement, reporting, and notifications as necessary.

Maintains adequate and accurate use of the scheduling software.

Meet with each new hire upon clearance to select appropriate shift while assessing business needs with employee requests.

Works in alignment with Human Resources to ensure scheduled and paid items are accurate.

Responsible for all time and attendance reviews, including approval and Denial of PTO and LOA requests, attendance points, and timecard discrepancies.

Coordinates day-to-day with Operations in the process of filling open shifts.

Maintain communication and positive working relationships with all staff to facilitate a safe and efficient operation.

Responsible for producing reports as requested by management.

Accountable for staffing and associated administrative duties for all special events.

Attend all required meetings.

Maintain adequate availability for consultation by all employees, including the management team.

Additional responsibilities as advised by management.

Employee performs within the prescribed limits of Tanner Health System's Ethics and Compliance program. Is responsible to detect, observe, and report compliance variances to their immediate supervisor, the Compliance Officer, or the Hotline.

Position Responsibilities

Effect of Error: Probable error usually detected in succeeding operations and generally confined to a single department or phase of organization activities. Practically all work is subject to verification or check. Occasional work with some confidential data where the effect of any disclosure would be negligible or where the full import is not apparent in the routines performed.

Mental Demands: A wide variety of complex, changing problems, most of which cannot be anticipated, and there is little existing precedent. Requires careful analysis for the effect of solution on other activities and overall coordination in the organization. Accuracy is essential and not subject to further check. Work involves high degree of resourcefulness, independent judgment, initiative, and long-range planning to achieve major functional objectives.
