Duties

  • Greet visitors, clients, and vendors warmly, ensuring a friendly and professional atmosphere at all times
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Manage appointment scheduling and calendar management using digital tools like Google Workspace or Microsoft Office
  • Perform data entry, filing, and document proofreading to maintain organized records
  • Handle incoming correspondence, emails, and inquiries with professionalism and attention to detail
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office cleanliness
  • Provide customer support by addressing questions or concerns efficiently and courteously
  • Assist with clerical duties including typing reports, managing data entry tasks, and supporting administrative projects as needed

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Effective phone etiquette skills for handling multi-line phone systems confidently
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Previous office experience or administrative experience is preferred to ensure smooth workflow management
  • Knowledge of front desk procedures, including filing systems and data entry processes
  • Experience with bookkeeping or QuickBooks is a plus for handling basic financial tasks
  • Strong attention to detail for proofreading documents and managing schedules accurately
  • Exceptional customer service skills to create a welcoming environment for all visitors and callers
  • Ability to prioritize tasks efficiently through effective time management techniques
  • Personal assistant or medical/dental receptionist experience is beneficial for understanding specialized front desk operations
