Assistant Project Manager (APM) – Fuel Systems Construction

About the Role
Tank Specialists of California (TSOC) is seeking a highly organized and proactive Assistant Project Manager (APM) to support fuel system construction, testing & maintenance, and environmental compliance projects across California.
This role is responsible for driving day-to-day project execution, not just supporting it. You will coordinate across field teams, vendors, and internal departments to ensure projects stay on track, documented, and moving forward.
This is a growth-track position into a Project Manager role. We are looking for someone who takes initiative, follows through, and is motivated to grow into full project ownership.
This role is primarily office-based, with occasional field visits as needed to support project execution.
Key ResponsibilitiesProject Execution & Ownership
- Build, manage, and update project schedules using Buildertrend and internal systems
- Coordinate field crews, subcontractors, vendors, and inspections
- Proactively identify risks, delays, and resource gaps—and drive resolution
- Ensure projects progress according to timeline, scope, and expectations
Systems & Project Visibility
- Maintain accurate and up-to-date project data in Buildertrend and Monday CRM
- Track project status, action items, and next steps with clear visibility to leadership
- Use systems consistently to manage communication, documentation, and workflow
- Support implementation and ongoing use of Monday CRM across operations
Documentation & Compliance
- Prepare closure documentation packages (warranties, manuals, as-builts, etc.)
- Maintain complete and audit-ready project files (digital and physical)
- Assemble and manage Field Folders (permits, safety docs, certifications, plans)
- Prepare submittals to ensure compliance with project specifications
- Support Activity Hazard Analyses (AHAs) and safety documentation
Procurement & Cost Coordination
- Source and obtain vendor and subcontractor quotes
- Process purchase requests and track materials, deliveries, and ETAs
- Coordinate equipment rentals and call-offs
- Assist in tracking job costs vs. estimates and flag discrepancies
Communication & Follow-Through
- Take and distribute weekly meeting notes with clear action items
- Track open tasks and ensure timely completion
- Communicate proactively with field teams, vendors, and clients
- Ensure nothing falls through the cracks across project handoffs
Operational Support & Improvement
- Identify inefficiencies in workflows and recommend improvements
- Support cross-functional coordination (accounting, sales, compliance, field teams)
- Assist in maintaining company safety standards and audit readiness
QualificationsRequired
- 2–4 years of experience in construction project coordination or management
- Strong organizational and documentation skills
- Proficiency in Microsoft Office and Adobe Acrobat
- Experience with project management software (Buildertrend preferred)
- Willingness and ability to learn and operate within Monday CRM
- Strong written and verbal communication skills
- Ability to manage multiple projects and priorities simultaneously
- Valid CA Driver’s License with a clean driving record
- Ability to pass background checks for secured/government facilities
Preferred
- Experience with fuel systems, environmental construction, or industrial/mechanical projects
- Familiarity with public works and prevailing wage projects
- OSHA 30 certification (or willingness to obtain)
- Experience in compliance-heavy or documentation-driven environments
Compensation & Benefits
- Hourly Rate: $34 – $37/hour (based on experience)
- Growth Path: Advancement to $38 – $41/hour based on performance, system adoption, and ability to manage projects independently
