A recognized nonprofit organization in New York City is actively seeking a versatile and hardworking professional to join their growing team as an Project Administrative Assistanr. In this role, the Project Administrative Assistant will be primarily responsible for supporting the VP of Public Programs and Exhibitions, as well as providing indirect support to various departments, teams, and vendors through administrative and project assistance.
About the Opportunity:
- Assignment Length: 3 Months
- Schedule: Monday to Friday (onsite 4 days a week)
- Hours: 9am to 5pm (1-hour unpaid lunch, no OT expected)
Responsibilities:
- Coordinate complex meetings across multiple stakeholders and library locations.
- Proactively follow up on scheduling requests and escalate issues when necessary.
- Manage email and chat communications; prioritize and filter incoming requests.
- Assist with procurement tasks and basic operational support.
- Track deadlines and ensure follow-up actions for departmental reorganization and exhibitions planning.
- Support ad hoc projects and "other duties as assigned," including connecting teams and facilitating communication.
- Organize and share files via Google Drive.
- Prepare agendas and meeting materials as needed.
- Liaise with other administrative staff and leadership to ensure smooth operations.
- Build relationships with internal teams for efficient problem-solving.
Qualifications:
- Proven experience in administrative support, calendar management, and scheduling.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency with Google Suite (Docs, Sheets, Drive, Gmail, GChat) and familiarity with virtual meeting platforms (Teams, Zoom).
- Ability to work independently and proactively, escalating issues when needed.
- Availability to work full-time, with flexibility for on-site presence (minimum 4 days/week).
- Experience in project coordination or operations support.
- Comfortable adapting to evolving priorities and handling ad hoc tasks.
