This position is responsible for the accurate and timely entry of gifts and constituent data, generation of donor acknowledgements and receipts, and maintenance of high-quality records within the advancement database. Reporting to the Advancement Services Manager, the Coordinator plays a critical role in ensuring data integrity, supporting donor stewardship, and facilitating effective collaboration between Advancement, the Foundation, and the University’s Division of Finance and Administration. Salary: $60,000 Responsibilities: Gift Processing & Data Entry Accurately process and record all gifts in Blackbaud Raiser’s Edge NXT, including cash, checks, credit cards, pledges, matching gifts, wire transfers, and in-kind contributions. Ensure proper coding of gifts, fund designations, and adherence to donor intent and institutional policies. Prepare and batch gifts for deposit in accordance with established procedures and internal controls. Assist with gift disaggregation/distribution to ensure correct allocation across funds and designations. Receipting & Acknowledgements Generate and distribute timely and accurate tax receipts and donor acknowledgements. Maintain templates and ensure consistency in donor communications in alignment with Foundation and University standards. Track acknowledgement workflows to ensure all donors are properly stewarded. Database Maintenance & Data Integrity Maintain and update constituent records, including biographical data, contact information, and relationships. Perform routine data clean-up, deduplication, and validation to ensure accuracy and completeness. Follow established data standards and procedures to maintain integrity within Raiser’s Edge NXT. Reconciliation & Reporting Support Assist in reconciling gift records with Finance and Administration/Accounting reports. Support preparation of daily, weekly, and monthly gift reports and summaries. Identify and resolve discrepancies in gift or donor records in coordination with the Advancement Services Manager. Administrative & Operational Support Maintain organized digital and physical gift documentation in accordance with audit and compliance requirements. Respond to internal inquiries regarding gift records, donor information, and acknowledgements. Support audits, campaigns, and special projects as assigned. Work Environment: This position operates in a professional office environment with standard business hours; occasional extended hours may be required during peak periods. Required Education and Experience: Bachelor's degree or higher in related field. Six (6) years of related experience. Preferred Education and Experience: 1–3 years of experience in data entry, administrative support, or nonprofit operations. Experience with Blackbaud Raiser’s Edge NXT or similar CRM/database. Experience in higher education, nonprofit, or fundraising environments. Familiarity with gift processing, receipting, or donor stewardship practices. Knowledge, Skills, and Abilities: Excellent organizational skills and ability to manage multiple tasks and deadlines. Strong data entry and recordkeeping skills with a high level of accuracy. Ability to handle confidential information with discretion. Effective communication and customer service skills. Willingness to learn and adapt to new systems and processes. Strong attention to detail and commitment to accuracy. Proficiency in Microsoft Office (Excel, Word, Outlook).
