Established fabricator and installer of tile, granite, marble, quartz and solid surface products is seeking a motivated professional to fill an immediate Accounting/Payroll opening. This detail oriented position is responsible for assisting with accounting, payroll, and administrative duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Accounts Receivable
- Enter all progress billing as needed.
- Receive completed job folders from all Estimators/Project Managers.
- Prepare final job billing invoice as needed.
- Track all contractual billing dates and prepare invoices as needed.
- Bill all retentions held when job is completed.
- Prepare weekly customer open invoice report.
- Track incoming revenue during the workweek.
- Follow up on past due invoices for payment.
- Determine account-aging status.
- Make collection calls daily or as needed.
- Prepare weekly accounts receivable aging report for Managing Director and President.
- Post and prepare deposits as needed.
- Prepare and process lien releases as required.
- Track, match, and reconcile all purchase orders.
- Identify discrepancies and notify originator of purchase order.
- Match all purchases and payable invoices from all sources.
- Code and post payable invoices on time for payment.
- Review vendor statements, verify to company accounts payable records.
- Prepare check run for approval by Managing Director or President.
- Process weekly payroll.
- Prepare Prevailing Wage-Certified Payroll documentation.
- Prepare payroll tax deposits and returns to be reviewed by Managing Director.
- Deposits/Cash – As needed; prepare bank deposits, cash received report and complete weekly deposit report for the Managing Director and President.
- Other duties as assigned.
- Comply with company’s confidentiality policy and procedures.
- Associate’s degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
- Basic accounting skills (debits and credits).
- Ability to calculate figures and amounts such as discounts, interest, and percentages.
- Mathematical and analytical skills in developing and interpreting financial records.
- Ability to organize, interpret and analyze data and financial reports.
- Ability to protect the reputation and integrity of others through strict confidentiality.
- Demonstrate a high level of trust.
- Ability to communicate well, both verbally and written.
- Knowledge of current policies, procedures, and programs for construction companies.
- Detail-oriented.
- Strong organizational skills.
- Effective communication skills.
- Good presentation skills.
- Ability to communicate with all employees within the company in English.
- Ability to work well under pressure and with tight deadlines.
- Ability to deal with problems involving several variables in high stress situations.

- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Computer knowledge (Microsoft Word and Excel).
- Bilingual: Spanish/English
- Extensive experience with accounting and business programs such as Quick Books Pro, Excel, etc.
- Experience with contractor/construction industry specific programs.
