Position Description
TAIT is seeking a proactive and detail-oriented Assistant Project Manager with an architectural background to support the successful execution of development and infrastructure projects from planning through construction documentation and permitting. This role is ideal for someone who understands architectural workflows, enjoys coordinating complex moving parts, and thrives in a fast-paced, collaborative environment.
Essential Duties & Responsibilities
- Assist Project Managers in coordinating projects through design development, construction documentation, permitting, and agency approvals.
- Support preparation, organization, and review of architectural and technical construction documents for submittal.
- Coordinate with architects, engineers, consultants, and municipalities to facilitate project progress and resolve design or permitting issues.
- Track permit applications, corrections, agency comments, and approval timelines across multiple active projects.
- Assist with project scheduling, budget tracking, meeting coordination, and action item management.
- Help manage due diligence efforts, feasibility reviews, and entitlement support documentation.
- Coordinate plan check responses, resubmittals, and agency communications to maintain project momentum.
- Support construction administration efforts including RFIs, submittals, field coordination, and document tracking.
- Maintain organized project records, reports, and communication logs within standardized project workflows.
- Contribute to process improvements and team collaboration initiatives to enhance project delivery efficiency.
- 2–5 years of experience in architecture, project coordination, permitting, construction administration, or related project management support roles.
- Professional experience preparing or coordinating construction documents and permit submittals.
- Working knowledge of entitlement, permitting, plan check, and municipal approval processes.
- Experience coordinating with architects, engineers, consultants, contractors, and public agencies.
- Familiarity with architectural drawing sets, construction sequencing, and technical documentation workflows.
- Ability to manage multiple deadlines and active projects simultaneously in a structured environment.
- Strong organizational skills with attention to detail and follow-through.
- Experience with project tracking, scheduling, and documentation tools such as Smartsheet, MS Project, Excel, or similar platforms.
- Proficiency with AutoCAD, Bluebeam, Adobe Creative Suite, or related design/documentation software is preferred.
- Bachelor’s degree in Architecture, Construction Management, Engineering, Urban Planning, or a related field (or equivalent professional experience).
- Architectural background with experience supporting commercial, retail, mixed-use, infrastructure, or development projects preferred.
- Strong communication skills with the ability to coordinate meetings, document decisions, and professionally interface with clients and agencies.
- Ability to read and interpret construction drawings, consultant plans, and municipal correction comments.
- Analytical and solution-oriented mindset with strong problem-solving abilities.
- Self-motivated, adaptable, and eager to grow within a collaborative project delivery team.
- Positive, team-oriented attitude with a strong sense of accountability and professionalism.
- Attend meetings at job sites, municipal offices (including hearings), and TAIT offices.
- Ability to drive to job sites, client meetings and deliver plan sets to agencies as required.
- Ability to lift and carry plan sets weighing up to 20 lbs (cart provided).
