Position Summary:
The Auxiliary Programs Administrative Manager oversees campus rentals, summer programs, and related operations. Reporting to the Director of Strategic Initiatives and Programs, this role manages inquiries, bookings, and event logistics from pre-planning through on-site execution, while leading enrollment and staff administration for summer programs, including hiring, onboarding, payroll, and communications. The manager ensures accurate setup, maintenance, and reporting in CampMinder and other program databases, tracking enrollment, session metrics, and staff information. They also support operational processes, program calendars, and policy development, serving as a key liaison for staff, participants, and external partners to ensure efficient, data-driven program management.
Key Responsibilities:
Campus Rental Coordinator
• Respond to rental inquiries for weddings, special events, athletic facilities, and other campus spaces.
• Conduct campus tours for potential renters.
• Book and track rentals; communicate details with internal departments and external clients.
• Prepare and send invoices; maintain up-to-date online rental calendars.
• Attend calendar committee meetings to coordinate across departments.
• Serve as liaison between renters and campus departments.
Tabor Summer Programs & Enrollment
• Manage enrollments, deposits, fee-pay declines, and parent communications.
• Set up applications and financial information in CampMinder; maintain data integrity.
• Track enrollment numbers, session fill rates, and program metrics; generate reports and insights.
• Create and send confirmations, contracts, and program communications.
• Manage staff applications, contracts, forms, workflow, and communications in CampMinder.
• Assist with staff management: recruiting, interviewing, onboarding, payroll approval/oversight, and limited on-site support during camp.
• Provide general administrative support to the summer programs team.
Operations & Program Support
• Support development and refinement of operational processes for Auxiliary and Summer Programs.
• Responsible for maintaining the camp office while camp is in session; serve as primary point of contact for campers, staff, and families.
• Maintain program calendars and coordinate across departments.
• Assist with creating scalable policies, procedures, and systems to support program growth.
Required Skills and Abilities:
• Bachelor’s degree with strong organizational skills and operational skills.
• Experience managing databases or program operations.
• Proficient in MS Office (Outlook, Excel, Word, PowerPoint) with the ability to quickly learn and master new software as needed.
• Excellent interpersonal, verbal, and written communication skills, with the ability to interact professionally and effectively.
Preferred Skills and Abilities:
• Experience with CampMinder or similar enrollment/program management software.
• Demonstrated experience in customer service and client relationship management.
Salary: $60,000-$70,000 per year
Work Schedule: This full-time position is scheduled for 40 hours per week, with weekend/evening hours required, over the calendar year. The schedule will be determined collaboratively between the selected candidate and Tabor Academy.
