Overview
The Project Coordinator supports the New Product Development department in bringing new products from concept to launch across our wholesale restaurant supply portfolio. This is a cross-functional role at the center of Product Development, Quality, and Sales — responsible for maintaining accurate product data, keeping projects on schedule, preparing internal and customer-facing presentations, and assisting with the sourcing of existing product lines and suppliers. The ideal candidate is highly organized, detail-oriented, and comfortable coordinating multiple stakeholders and timelines at once.
Duties
Product Data Management
- Create, maintain, and audit product records in the company's ERP/product information system, including specifications, pricing, packaging, dimensions, and compliance details.
- Ensure data accuracy and consistency across all systems and catalogs, resolving discrepancies as they arise.
- Gather and organize technical documentation, spec sheets, certifications, and imagery from suppliers.
- Maintain product setup workflows so new items are launch-ready across sales, purchasing, and fulfillment systems.
Project Coordination
- Serve as the coordination point between New Product Development and Quality, keeping all parties aligned on timelines, deliverables, and priorities.
- Track new product projects from concept through launch, monitoring milestones and flagging risks or delays.
- Schedule and facilitate cross-departmental meetings, capture action items, and follow up to ensure completion.
- Maintain project documentation, status reports, and launch checklists.
Presentations & Reporting
- Prepare clear, professional presentations for internal reviews, sales enablement, and customer/vendor meetings.
- Compile product information, market data, and project updates into decks, one-pagers, and line reviews.
- Support the New Product Development Manager with reporting on project pipelines, launch performance, and department metrics.
Sourcing & Resourcing
- Assist in identifying and researching potential products, suppliers, and vendors.
- Request and organize samples, quotes, and product information to support sourcing decisions.
- Support supplier communication and help track sourcing progress against project needs.
- Contribute to competitive research and market analysis to inform product selection.
Skills
Required
- Associate's or Bachelor's degree in business, supply chain, marketing, or a related field — or equivalent work experience.
- 2 years of experience in a coordination, product, purchasing, category management, or project support role, ideally in distribution, wholesale, or a product-driven business.
- Strong proficiency with Microsoft Office, particularly advanced Excel skills (pivot tables, lookups, data management) and PowerPoint (presentations).
- Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Strong written and verbal communication skills.
- High attention to detail and comfort working with large volumes of product data.
Preferred
- Experience in the foodservice, restaurant supply, or related distribution industry.
- Familiarity with ERP systems and Product Information Management (PIM) tools.
- Experience coordinating across purchasing, sales, and product teams.
- Understanding of product lifecycle and new product launch processes.
