T2 Utility Engineers is seeking a Project Billing Coordinator to provide essential project support for the NY, NJ offices. This position will help keep daily operations running smoothly with key clients through the organized completion and submittal of client reporting, narratives and assisting with scheduling, organizing documents, arranging travel, and supporting various departmental needs. The ideal candidate is detail‑oriented, organized, and able to manage multiple priorities in a fast‑paced environment, ensuring our staff has the support necessary to work efficiently and effectively.

T2 Utility Engineers specializes in providing reliable underground and above-ground utility information to reduce the risks that utilities present for infrastructure projects. T2ue helps clients manage the complexity of existing utilities with our professional and comprehensive Subsurface Utility Engineering, Utility Coordination, and Surveying services.

Responsibilities include, but are not limited to:

  • Support Project Managers throughout the full project lifecycle, from project setup through closeout
  • Assist with accurate project setup and maintenance in the financial system, including budgets, billing structures, and labor categories
  • Monitor and review project financials, including budgets, labor, expenses, and revenue, to ensure accuracy and alignment with contract terms
  • Review and analyze variance reports and correct discrepancies prior to month‑end close
  • Prepare, review, and finalize client invoices, making corrections as necessary, include proper backup documentation and compliance with client requirements, ensuring accurate and timely billing
  • Coordinate with Project Managers, accounting, and operations teams to resolve billing discrepancies and invoice inquiries
  • Track and support timesheet and expense compliance, ensuring entries align with project budgets, charge codes, and client requirements
  • Assist with month‑end and year‑end close activities, including reconciliation support and reporting preparation
  • Maintain organized and up‑to‑date project files and financial documentation, both electronically and in accordance with company standards
  • Support Project Controls and/or accounting functions for NY/NJ branch offices, including potential satellite locations
  • Assist with preparation and submittal of required client reporting, narratives, and documentation, as applicable
  • Collaborate with internal departments (Accounting, Operations) to ensure projects adhere to contractual, financial, and reporting requirements
  • Perform additional project‑related accounting or administrative responsibilities as needed to support department operations

Qualifications:

  • High school diploma
  • 3 – 4 years of experience working in an accounting setting
  • Excellent oral and written communication skills, must possess a professional manner and customer service mindset
  • Ability to work well independently and with a professional team in a fast-paced, team-oriented work environment
  • Detail oriented and resourceful, with the ability and aptitude to learn new programs and skills quickly
  • Proficiency in Microsoft Excel, Word, Outlook and Office
  • Good communication skills and a team player


Desired Qualifications:

  • BST experience
  • Working knowledge and understanding of project accounting principles
  • Experience in working with and providing support to diverse groups in all levels of management
  • Solid time management and follow-through skills, with the ability to manage multiple tasks with tight deadlines
  • Self-motivated and confident with strong initiative
  • Well-developed interpersonal skills with ability and desire to build trusting, long-term relationships
