Job Summary
We are seeking a professional and organized Front Desk Receptionist to serve as the first point of contact for our office. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with office management tools. This role involves managing front desk operations, supporting administrative functions, and providing exceptional customer service to clients and visitors. Responsibilities
- Greet visitors and clients promptly and professionally, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments, manage calendars,
- Handle data entry, filing, and document proofreading with accuracy and efficiency
- Utilize Microsoft Office Suite, Google Workspace, and other office software for administrative tasks
- Maintain organized records of correspondence, appointments, and client information
- Support bookkeeping activities using QuickBooks or similar accounting software as needed
- Assist with office management duties including supply inventory and general maintenance
- Provide customer support via phone, email, or in person with excellent phone etiquette
- Perform clerical tasks such as typing documents, proofreading materials, and managing emails
Qualifications
- Proven experience in office management, Mechanic knowledge , administrative support, or receptionist roles
- Strong computer literacy including proficiency with Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Bilingual abilities are a plus to effectively communicate with diverse clients
- Familiarity with QuickBooks or bookkeeping software is desirable
- Exceptional organizational skills with the ability to prioritize tasks effectively
- Attention to detail for proofreading and data accuracy
- Previous experience in Automotive but not required
- Strong customer service orientation with the ability to handle inquiries professionally
- Ability to manage time efficiently in a fast-paced environment
