Position Summary
As our Receptionist, you will be the first point of contact for clients, attorneys, and visitors. This is a full-time, in-office position — not remote. You will play a key role in ensuring smooth day-to-day operations and creating a warm, professional environment for clients who are often navigating stressful legal situations. This role offers real opportunity for growth and advancement within the firm for the right candidate.
Key Responsibilities
- Greet clients, visitors, and vendors in a warm, professional manner in person and by phone
- Answer and direct a high volume of incoming calls throughout the day with poise and efficiency
- Schedule and confirm client appointments, consultations, and hearings
- Maintain accurate and organized client intake records and files
- Handle incoming and outgoing mail, emails, and faxes
- Assist attorneys and legal staff with administrative tasks as needed and as instructed
- Manage the front desk and reception area, ensuring it remains organized and presentable
- Handle sensitive client information with the utmost confidentiality and discretion
- Coordinate with insurance companies, medical providers, and other external parties
- Work as instructed following the firms’ guidelines without diversion.
What We're Looking For
- Prior experience as a receptionist or administrative professional — experience in a law firm is strongly preferred
- Exceptional interpersonal and communication skills; ability to speak with clients and colleagues with empathy and professionalism all day
- Highly detail-oriented with strong organizational skills and the ability to manage multiple priorities
- Reliable, punctual, and dependable — the team counts on you every day
- Compassionate and patient demeanor, especially when interacting with clients in distress
- Proficient in Microsoft Office (Word, Outlook, Word Perfect) and general office technology
- Comfortable with legal case management software (experience a plus, training provided)
- Strong sense of discretion and professionalism when handling confidential information
- High school diploma or equivalent required; associate or bachelor’s degree a plus
