Duties

- Handle front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
- Use Office management software such as Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations.
- Support bookkeeping tasks using QuickBooks or similar accounting tools to assist with invoicing and expense tracking.
- Provide customer support by addressing inquiries promptly via phone or email while maintaining excellent customer service standards.
- Assist with office management duties such as ordering supplies, organizing files, and maintaining a clean workspace.
- Support medical or dental reception duties if applicable, including patient check-in/out processes and appointment scheduling.
- Manage calendar appointments for staff or personal assistants as needed to optimize time management.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Familiarity with multi-line phone systems, phone etiquette, and front desk operations.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Prior experience with QuickBooks or bookkeeping is a plus but not required.
- Strong attention to detail for proofreading documents and managing records accurately.
- Exceptional customer service skills with the ability to handle inquiries professionally and courteously.
- Ability to manage time efficiently in a fast-paced environment while multitasking effectively.
