Key Responsibilities
Greeting visitors and responding to phone and intercom inquiries in a courteous, professional, and helpful manner- Assisting callers and visitors with locating staff, information, or resources, including basic problem-solving when needed
- Providing front desk coverage and overseeing day-to-day reception operations as assigned
- Assisting staff with basic office equipment troubleshooting (printers, copiers, scanners)
- Preparing, editing, and maintaining documents, correspondence, and electronic records in accordance with agency procedures
- Managing incoming and outgoing mail, packages, deliveries, faxes, and electronic communications
- Supporting office organization, including filing (electronic and physical), document tracking, and records maintenance with attention to detail and accuracy
- Assisting with ordering, monitoring inventory, and distributing supplies/orders and maintaining shared office spaces and equipment
- Supporting scheduling, training coordination, and administrative reporting, including data entry and routine reports
- Maintain shared office spaces (reception area, conference rooms, break room)
- Coordinate with vendors, maintenance and service providers
- Assisting with special projects, meetings, and administrative overflow work as assigned
Requirements
The ideal candidate will have a high school diploma or equivalent, and at least two years of office experience in an office environment. This role requires strong organizational skills and a keen eye for detail.
This is an hourly non-exempt position with regular office hours of Monday-Friday, 8AM - 4:30PM. Occasional travel to outlying service areas may be required.
