Job Summary
Grand Rail Development is seeking a detail-oriented and organized full time Office Assistant to support our administrative team. The ideal candidate will be responsible for managing daily office tasks, ensuring smooth operations, and providing excellent support both internally as well as to our sub contractors/vendors and customers. This role requires strong computer literacy, effective communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
-Perform administrative tasks such as answering phones, greeting customers, collecting and sorting mail, filing, and responding to emails.
-Manage inventory of office supplies, building materials, and apparel.
-Check invoices against bids and reconcile vendor statements.
-Respond to and coordinate service calls and punch list items in a professional manner.
-Property management responsibilities for commercial leased properties and HOA’s, including responding to service requests, collecting and tracking rent income, scheduling routine maintenance and inspections, collecting and awarding bids for lawncare and snow services, and other miscellaneous requests.
-Manage key directory, including checking in and out for sub-contractors.
-Manage the bid acquisition process for open projects.
- Coordinate and provide required paperwork to realtors for residential closings.
-Manage recruiting process, which includes screening applicants and scheduling interviews for laborer positions as needed.
-Routinely update Grand Rail Development website.
-Support staff with additional tasks as requested.
Required Skills and Qualifications
-2-3 years office experience
-2-3 years customer service experience
-Must be proficient in Microsoft Excel and Quick Books
-Ability to self-manage and prioritize assigned tasks with attention to detail
Preferred Skills and Qualifications
-General Construction knowledge preferred
-Real estate experience preferred
