Job Title: Executive Staff Assistant
Location: Pittsburgh, Pennsylvania
Compensation: $30 - $32 hourly
Contractor Work Model: Hybrid

POSITION SUMMARY:
The Accounts Payable Specialist is accountable for processing invoices for payments to vendors by facilitating invoice coding and approval, checking invoices for accuracy, resolving discrepancies and entering data into the AP system. This role will ensure that all vendor invoices are processed and paid accurately and in accordance with deadlines.  Additionally, this role will continuously evaluate opportunities to increase effectiveness of the AP process and ensure compliance with internal procedures and partner closely with internal customers.

RESPONSIBILITIES:

• Sort mail/scan invoices
• Provide top notch customer service when assisting internal and external business partners
• Process domestic and international invoices (PO and Non-PO)
• Process payment runs
• Process one-time payments via AP pay card
• Monitor/reconcile open vendor card payments
• Review and prevent potential duplicate payments
• Monitor aged invoices, discount opportunities, and on-time payments
• Monitor activity in Ariba to ensure proper invoice processing, timely approvals, exception resolution, etc.
• Investigate and resolve invoice or payment discrepancies with suppliers
• Reconcile accounts payable transactions with vendors statements
• Review new vendor set up information for accuracy and completeness
• Identify opportunities for process improvements
• Additional responsibilities as assigned

QUALIFICATIONS:

• Resource should be located in the greater Pittsburgh, Pennsylvania area (hybrid work schedule)
• A minimum of 1 year administrative experience in a corporate environment required
• Accounts Payable and/or procurement experience preferred, but not required
• Experience with Ariba Spend Management and/or Lawson software a plus 
• Proficient in Google Workspace and Internet applications as well as MS Excel
• Strong organizational skills with keen attention to detail
• Ability to prioritize workload to meet deadlines
• Strong analytical and problem-solving skills
• Effective interpersonal skills and highly professional style when dealing with business partners
• Demonstrate collaborative skills and ability to work well within a team
• Ability to provide a high level of customer service ensuring customer satisfaction while maintaining a positive attitude
