Job Description

The Student Events & Activities Coordinator is a vital staff member within the Student Involvement and Leadership Development unit, part of the broader Student Engagement team. The Coordinator supports the planning and implementation of campus programs and events that enhance the student experience and promote engagement. This position coordinates a variety of initiatives including large-scale events, pop-up programs, off-campus excursions, and collaborative activities.

The Coordinator manages event logistics including scheduling, vendor coordination, contracting, purchasing, marketing, and transportation, while working with campus partners to ensure programs are implemented safely and in accordance with University policies. The Coordinator also assists with program assessment and serves as an advisor to a subset of Recognized Student Organizations (RSOs), providing guidance on event planning, budgeting, and organizational compliance. The position provides supervision, training, and ongoing support to student Event Leads, ensuring they are prepared to manage on-site event operations and uphold departmental standards.

Education and Experience

  • Bachelor’s degree from accredited institution required.
  • Preferred experience in planning, implementing, and executing student events and programs.

Responsibilities

  • In support of the Events and Activities program portfolio, plan, coordinate, and implement a variety of campus and off-campus programs designed to enhance student engagement, including large-scale events, pop-up programs, and collaborative initiatives.
  • Manage event logistics from concept through execution, including venue reservations, catering coordination, transportation arrangements, vendor coordination, and on-site event management.
  • Assist with coordinating student event staff and volunteers during program implementation to ensure safe, inclusive, and successful events.
  • Supervise, schedule, and support student Event Leads, providing training, guidance, and on-site direction to ensure consistent event execution and adherence to University policies.
  • Collect participant feedback and contribute to reports summarizing program outcomes, attendance data, and recommendations for future improvements.
  • Prepare, review, and process vendor and performer agreements in accordance with University policies and procedures.
  • Coordinate transportation through University-approved vendors in collaboration with the Parking & Transportation Department, ensuring compliance with University safety and risk-management standards.
  • Address logistical and safety concerns that arise before or during events.
  • Assist with monitoring event budgets by tracking expenditures, processing payments, and supporting responsible use of departmental funds.
  • Maintain accurate records of event attendance and participation through event pass scanning and ticket sales tracking.
  • Coordinate marketing and promotional efforts for events and initiatives, including flyers, kiosks, banners, t-shirts, and other promotional materials.
  • Maintain accurate and timely event information in the ’Cuse Activities database, the University calendar, and the Student Engagement website.
  • Support the department’s online and social media presence to increase program visibility and student participation.
  • Serve as a consultant to a diverse portfolio of Recognized Student Organizations (RSOs), acting as the primary point of contact for a subset of the University’s RSOs.
  • Support student leaders in the planning and implementation of programs and events by providing guidance on event logistics, budgeting, and risk management.
  • Educate students on University and governing body policies and procedures to ensure organizational compliance and success.
  • Manage approved funding requests, including contracting, purchasing, and expenditure tracking from the Student Activity Fee, and support officer elections, leadership transitions, and leadership development.
  • Serve as a liaison and collaborative partner with departments across the Division of the Student Experience and the broader University community to support program development and implementation. Coordinate with offices including Risk Management, Public Safety, Parking & Transportation, Dining Services/Catering, Disbursements, Purchasing, the Box Office, and the Comptroller’s Office to ensure events comply with university procedures and operational standards.
