What are the responsibilities and job description for the Office Manager position at Synergy Interactive?
As the Office Manager, you will ensure the New York office operates efficiently, creating a workspace that is engaging, productive, safe, and supportive of collaboration. This role is onsite Monday through Thursday, with occasional Fridays as needed for events or projects.
What You’ll Do:
- Serve as the primary contact for facility operations and maintenance across all Intersection offices nationwide, overseeing areas such as facilities management, space planning, purchasing, reception, mail operations, landlord coordination, office improvements, and security.
- Manage external vendors and ensure all invoicing complies with accounts payable and finance processes.
- Enter invoices and payment details into accounting platforms, including Coupa.
- Work with building management to keep all facilities, furniture, fixtures, and equipment in proper working condition; handle preventative maintenance, minor repairs, and office reconfigurations.
- Maintain an onsite presence in the New York office at least four days per week.
What You’ll Bring:
- Experience sourcing vendors, negotiating contracts, establishing reporting processes, and maintaining a dynamic vendor database.
- Strong multitasking and prioritization skills, with the ability to handle multiple simultaneous requests in a fast-paced environment.
- Previous experience managing space planning, project coordination, and procurement needs.
- Ability to create and implement processes and workflows that enhance productivity, quality, and service; track recurring issues and introduce improvements to efficiency.
- Excellent written and verbal communication skills.
- Familiarity with OSHA guidelines and compliance requirements.
- A flexible, resourceful, and solution-minded approach to daily challenges.
- Proficiency in Google Workspace (Gmail, Drive, Calendar, etc.).
