Job Summary
SYNCRONYS is designated as the state of New Mexico’s Health Information Exchange and is recognized by the NMDOH as its agent for public health reporting. SYNCRONYS aims to improve health and quality of life for all in New Mexico.
The Chief of Staff will support the CEO by managing strategic initiatives, operational priorities, overseeing general office operations, and facilitating alignment across departments. Key duties include managing strategic initiatives and operational priorities, managing human resources, facilities, general office functions and serve as liaison with government agencies. The Chief of Staff is responsible for administrative tasks including managing the CEO's calendar, preparing for important meetings, and acting as a trusted advisor to improve overall execution and alignment with company goals. The Chief of Staff will work with a high degree of administrative, sensitive and confidential information.
Responsibilities
1. Oversee day-to-day administrative operations and staff, human resources, facilities, and general office tasks. Streamline processes across the organization to improve efficiency and productivity.
2. Executive support: managing the CEO’s calendar, preparing materials for meetings, and providing high-level administrative and communication support. Produce and distribute materials for board and committee meetings.
3. Primary contact to review and renew employee benefits and corporate insurance policies.
4. Human Resources: direct and manage employee HR activities, post new positions, conduct new hire onboarding, new hire reporting and I-9 reporting. Maintain HR personnel files, maintain job descriptions, administrative policies and Employee Handbook.
5. Communication Liaison: Foster collaboration and communication between departments, responsible for drafting and sharing internal communications and documents, serving as a representative of the executive leadership team in certain communications. Filter information and communications for the executive leaders as needed.
6. Strategic Initiatives and operational priorities: assist in creating and tracking strategic initiatives and operational priorities, tasks and goals.
7. Facilitate meetings and ensure action items are tracked and completed.
8. Oversee cross functional teams and projects, monitoring progress and alignment with company priorities.
9. Facilitates quarterly business meetings with state agencies, drafts quarterly reports and monitor state and local government activities to identify opportunities and impacts for the organization. Manage proposals and agreements with state agencies.
10. Conduct research and analyze data to inform executive decision making.
11. Supervisory functions include supervising the Office Services Assistant and conducting annual performance review.
Experience
5 years in management, project management or related strategic roles,
2 years HR experience,
2 years working with a non-profit, and
2 years’ experience working with government agencies or regulatory processes.

3. Knowledge of office management and HR principles and procedures.
4. Knowledge of state and federal legislative and regulatory processes.
5. Excellent computer skills, including Microsoft Office applications.
Education:
· Bachelor’s degree in administration, business, finance or allied health related field.
Job Type: Full-time
Pay: $90,000.00 - $98,000.00 per year
