The Role
We are looking for a highly empathetic and organized Client Intake Specialist to serve as the first point of contact for our firm.
>> Please Note: This is not a sales position. You will be receiving inbound calls from leads who already need our professional services. Your primary goal is to establish trust, gather crucial case details, and ensure prospective clients feel safe and heard, all while meticulously preparing their portfolio for our Case Managers.
A Note on the Nature of the Work: This role requires high emotional resilience. You will frequently hear about distressing situations, including cases involving abuse or children. The right candidate must be able to process heavy information with professional composure, offering a safe harbor for the caller without stepping into the role of a legal advisor or counselor.
Key Responsibilities
- Field Inbound Inquiries: Answer calls from prospective clients seeking cybersecurity and/or private investigation services.
- Conduct Intake: Efficiently gather the caller's personal information and a brief description of their situation and needs.
- Verify Case Eligibility: Cross-reference prospective cases against our provided legal compliance sheet to ensure our firm can legally assist them.
- Educate & Onboard: Walk eligible leads through our standard pricing, the typical flow of our services, and what they can expect from our team.
- Manage Documentation: Send out new client packets, verify accuracy of all gathered information, and compile a comprehensive new client portfolio.
- Seamless Handoff: Transfer the completed client portfolio to a Case Manager for the start of the investigation.
- Maintain Boundaries: Establish trust and validate the client's situation while strictly adhering to company policy by never offering legal guidance or psychological counseling.
What We’re Looking For
- Experience: 5 years of experience in customer care relations.
- Education: Must have a college degree.
- Required Equipment: Must have a reliable computer and video call capabilities for team meetings and training.
- Exceptional Communicator: You have a professional phone demeanor and active listening skills.
- High Emotional Intelligence: You can remain calm, supportive, and grounded when speaking to individuals in crisis.
- Detail-Oriented: You take accurate notes and pride yourself on organized data entry.
- Boundary-Setter: You understand the difference between empathetic listening and offering advice.
