Job Description:

  • We are seeking a highly organized and customer-focused Front Office Assistant to join our property management team. The ideal candidate will be the first point of contact for residents, clients, and visitors, handling inquiries, scheduling appointments, and providing administrative support. Responsibilities include managing front desk operations, assisting with resident relations, and supporting the property management team with various tasks.

Responsibilities:

  • Greet and assist tenants, clients, and visitors in a professional and friendly manner.
  • Answer and manage a high volume of calls and emails; direct inquiries to the appropriate team members.
  • Process tenant requests, including maintenance work orders, rent payments, and lease inquiries.
  • Maintain accurate tenant and property records within property management software (e.g., AppFolio, Yardi).
  • Schedule and coordinate appointments, property tours, and vendor services.
  • Assist in handling move-in and move-out processes, including document preparation and follow-up.
  • Ensure the front office and reception area are organized and well-maintained.
  • Support the property management team with general administrative tasks (e.g., filing, data entry, reports).

Qualifications:

  • High school diploma or equivalent;
  • Must being able to type 40-60 words per minute (WPM) reliably
  • 2 years experience in customer service or administration;
  • Proficient in Google Drive and property management software.
  • Proficiency in using project management software
  • Ability to create, manage, and track project timelines, tasks, and milestones
  • Experience in coordinating across teams and updating project dashboards
  • Strong organizational and time management skills
  • Attention to detail and ability to follow through on assignments
  • Must pass background check/drug test

Preferences:

  • Experience in property management.
  • Proficiency in property management software like Yardi or AppFolio.
  • Strong customer service orientation and flexibility.

Job Type: Full-time

Pay: $14.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Day shift

Work Location: In person
