Job Title: Property Management Assistant
Job Summary:
SVN | Miller Commercial Real Estate is seeking a reliable and detail-oriented Property Management Assistant to support our Property Management and Maintenance teams. This role is integral to keeping daily operations organized and on track, with responsibilities that include coordinating maintenance requests, tracking documentation, and assisting with billing processes. The Property Management Assistant works closely with multiple departments and plays a key role in maintaining efficient workflows, clear communication, and accurate records across our property portfolio.
Essential Duties/Responsibilities included but not limited to:
- Enter, track, and manage maintenance work orders from submission through completion
- Coordinate maintenance scheduling with SVN Maintenance, Property Managers, and tenants
- Follow up on open, delayed, or stalled work orders and vendor activity
- Review maintenance timesheets and confirm labor is properly assigned to work orders
- Verify required approvals for work orders over established cost thresholds
- Reconcile material purchases (Home Depot, Lowe’s) to work orders and receipts
- Prepare and issue maintenance invoices after verifying lease responsibility (Landlord vs. Tenant) in coordination with the Lease Administrator
- Track outstanding maintenance invoices and assist with follow-up and resolution
- Maintain inspection calendars and coordinate required inspection communications
- Produce weekly reports on work orders, billing status, and maintenance activity
Qualifications/Skills:
- Prior office or administrative experience in a professional setting
- Experience supporting multiple team members and managing routine administrative tasks
- Strong organizational skills and attention to detail
- Comfortable working with basic computer systems including Microsoft Excel, email, and data entry
- Ability to follow established processes, document work accurately, and meet deadlines
- Clear written and verbal communication skills
- Willingness to learn property management and maintenance processes
Education/Experience:
- Experience in property management, maintenance coordination, accounting support, or administrative operations beneficial but not required.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
