Private Practice Psychology Office
A busy and growing private psychology practice is seeking a dependable, organized, and proactive office assistant to provide administrative and support to a licensed clinical psychologist. This position is ideal for someone who is highly professional, detail-oriented, adaptable, and able to help manage both office operations and tasks with discretion and efficiency.
Position Overview
The office assistant will help ensure the smooth day-to-day operation of the practice while also assisting with scheduling, organization, communications, and occasional tasks for the practice owner. The ideal candidate is trustworthy, tech-savvy, compassionate, and able to maintain strict confidentiality at all times.
Position Type
- Part-time – flexible remote hours, after 5pm in person, and an occasional weekend as needed
- In-office and remote

Key Responsibilities
Office & Administrative Duties
- Answer emails, return phone calls, and client inquiries professionally
- Schedule and manage appointments and calendars
- Maintain confidential client files and office records
- Process payments, invoices, and basic billing support
- Coordinate office supplies and maintain an organized, clean workspace
- Support daily office operations and workflow management
- Assist with document preparation, filing, and data entry
- Assist with organization of projects, deadlines, and priorities
- Coordinate meetings, travel arrangements, and appointments for continuing education
- Skills to help maintain business website and social media a plus
- Maintain confidentiality and professionalism in all matters
Qualifications
- Previous experience as an administrative assistant, executive assistant, office manager, or personal assistant preferred
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office, Google Workspace, email platforms, and scheduling software
- Proficiency using AI, tech, and social media for a business a plus
- Ability to work independently and problem-solve effectively
- High level of discretion, professionalism, and reliability
- Experience in healthcare, counseling, or mental health settings is a plus
