Job Title: Dental Front Desk Coordinator/Check-in
Reports to: Front Desk & Treatment Planning Team Lead/Office Manager/Dental Practice Owner
Job Summary: The Front Desk Check-in Specialist role is essential for creating a welcoming first impression for patients while managing specific generalized front desk duties. As the first point of contact, you will ensure patients feel comfortable and supported during their check-in experience.
Key Responsibilities:
· Patient Reception:
o Greet patients warmly and professionally upon arrival.
o Verify and update patient information provided in the DPMS.
o Distribute and collect necessary forms or documents.
o Review the patient’s treatment plan upon check-in.
o Maintain a clean and tidy waiting and front desk area.
· Scheduling:
o Schedule appointments, confirm upcoming visits, and manage cancellations or reschedules.
o Notify the clinical team of patient arrivals promptly.
o Monitor the schedule to make sure all appointments have procedure codes, appropriate fees and providers attached to the appointment two days prior.
· Communication:
o Answer phone calls and respond to emails promptly, providing accurate information about services, appointments, and insurance.
o Direct patient inquiries to the appropriate team member.
o Provide information about office policies, procedures and services.
· Administrative Tasks:
o Maintain accurate and up-to date patient records in the DPMS, including patient demographics, treatment plans and financial agreements (e.g., going through the schedule to identify updated patient demographics).
o Collect and process payments, including co-pays and past due balances.
o Insurance verification for patients who have new insurance, have been added to the schedule or when applicable.
o Document all communications with patients regarding appointments.
o Utilize patient communication tools for forms, messaging and communications with patients (e.g., Modento, UIC, Swell).
o Scan, print and provide referrals for each provider
o Scan treatment plans and other documentation provided for the clinical team or treatment coordinators.
o Print new forms for the clinical team.
o Make new patient folders and welcome bags.
o Provide treatment plans for the following day.
o Rotate and perform closing duties with administrative team.
o Support necessary duties for Oral Surgery days.
Qualifications:
· High school diploma or equivalent.
· Strong communication and people skills.
· Basic computer skills, familiarity with Microsoft Office, DPMS or similar software. (e.g., Dentrix, Eaglesoft).
· A positive attitude and eagerness to learn.
· Previous customer service experience.
Additional Duties and Responsibilities Assumes additional tasks and/or responsibilities as assigned to meet the business needs.
Physical Demands Nature of work requires an ability to effectively communicate and exchange information with patients and staff. Ability to operate a computer, keyboard, and standard office equipment. Must be able to walk, sit or stand for extended periods of time.
Working Conditions The majority of work is performed in a dental office setting and/or clinical environment. Requires availability for extended hours during seasonal or peak periods. Hours and duties may change to meet the business needs.

Pay: $16.00 - $21.00 per hour
