Sutter West Bay Medical Group (SWBMG) is seeking an experienced Benefits Contractor to support day ‑ to ‑ day benefits administration in a fast ‑ paced , growing organization. This role is highly hands ‑ on and operational, supporting a largely manual benefits environment with limited systems integration. This is an onsite role.
In this contract assignment, you will partner closely with the SWBMG Human Resources team and serve as a primary point of contact for physicians, clinicians and employees providing “ white ‑ glove ” service and ensuring clear accountability across all benefit workstreams. The ideal candidate is detail ‑ oriented , comfortable managing complex processes without heavy automation, and deeply experienced in California leave and state benefit administration.

Key Responsibilities
Benefits Administration & “ White ‑ Glove ” Support
- Administer employee benefits programs including medical, dental, vision, life, disability, and retirement plans.
- Serve as the primary contact for benefit ‑ related inquiries, providing high ‑ touch , timely , and empathetic guidance to clinicians and employees.
- Coordinate benefit enrollments, qualifying life events, and terminations directly with vendors and carriers.
- Maintain meticulous benefit records, audits, and documentation to ensure data integrity in a largely manual environment.
- Administer end ‑ to ‑ end Leave of Absence processes in compliance with FMLA, CFRA, PDL, and ADA .
- Track leave timelines and required documentation with high precision, coordinating closely with employees and managers to support seamless return ‑ to ‑ work transitions.
- Partner with the broader HR team to ensure benefits continuation and reinstatement are handled accurately and without disruption.
- Support the ongoing implementation and stabilization of leave management tools.
- Handle all EDD claims , including SDI and PFL , and related state paperwork.
- Respond to state agencies, track claim statuses, and ensure all regulatory deadlines are met.
- Collaborate with Payroll and HR to resolve discrepancies or escalations related to state disability or paid family leave payments.
- Prepare and maintain routine and ad ‑ hoc benefits and LOA reports to support operational and leadership needs.
- Execute regular audits and reconciliations to ensure compliance and billing accuracy.
- Support non ‑ discrimination testing, ACA reporting , and other regulatory filings as needed.
- Partner with Payroll, Finance, and external vendors to ensure accurate and timely data flow.
- Assist with Open Enrollment planning and execution, including the development of employee communication materials.
- Troubleshoot and resolve complex vendor ‑ related issues with a strong focus on physician, clinician and employee satisfaction.
Required Qualifications
- 3 years of dedicated benefits administration experience.
- Deep familiarity with California leave laws and state ‑ mandated benefits.
- Hands ‑ on experience with ADP required ; experience with Benefit Resource Management Systems (BRMS) and Cocoon strongly preferred .
- Proven experience managing complex Leaves of Absence and EDD/state benefit claims.
- Strong analytical and organizational skills with the ability to operate effectively in a hands ‑ on , manual environment.
- Prior experience supporting healthcare organizations or clinical populations (Physicians/APCs).
- Professional HR certification (PHR, SHRM ‑ CP, or CEBS).
